Video Time use case #3: Track attendance of a live event

Step-by-step instructions to implement a live stream and track attendance during the event with Video Time Pro.

Scenario

Tina Teacher is hosting a live lecture on Thursday morning. She wants to:

  • broadcast the session through Moodle,

  • record the lecture and make it available afterwards, and

  • track who actually attended the live lecture (not who watched the recording).


Proposed solution

  • Create a scheduled live event in Vimeo for the lecture and enable recording.

  • Embed the live event with Video Time and limit tracking to the scheduled event time.


Prerequisites


Implementation

You only need to create one Video Time activity for the setup.

Create the first Video Time activity

  1. In settings under 'General' configure the following settings:

    • Video URL: Add the URL of the Vimeo live event.

    • Activity name: Live lecture on topic XY

  2. In settings under 'Availability' configure the following settings:

    • Allow viewing from: add start time and date of live lecture

    • Allow viewing till: add end time and date of live lecture

    • Prevent preview tracking: Enable

  3. In 'Embed options' configure the following settings:

    • No specific settings are needed.

      You can individualize the embedding options to your preferences.


Result

Before the event starts, Video Time will display the scheduled start time from Vimeo. As soon as the live stream begins, Video Time starts tracking all users who are watching. After the event ends, the recorded version automatically replaces the live stream, allowing students to watch the lecture later. However, views of the recording will not be tracked – the report will only reflect views that occurred during the live session.


Customizing settings for different or extended use cases

  • Use case #3a: Use live attendance as a requirement for grading or course completion.

    • In completion conditions:

      • Add requirements: Enable

      • Completion on watch percentage: 90 %

Setting the watch percentage below 100% allows for some flexibility – for example, if a student briefly loses their internet connection during the live session.

  • Use case #3b: Enable the chat tab to let students actively participate during the live lecture.

    • In Tabs:

      • Enable tabs: Enable

      • Video Time Chat tab: Enable
