Beventi Reports will help you understand your earnings by giving you insight into your sales on Beventi. It isn't a complete profit statement, however, as it won't include every business expense, bank payout or payment provider processing fee.
This guide will show you how to:
See how much you've earned
Understand how deposits, payment plans and refunds will show
Check whether your shipping charges cover your label costs
See how much you've earned
Step 1: Choose your dates
Open Reports and click the date button at the top of the page.
Choose the date range you wish to cover, then click Apply.
Step 2: Choose your channel and currency
Choose All channels or one sales channel.
If a currency selector appears inside Net earnings, select the currency you want to view.
Step 3: Review each tab
Review each tab (Overview, Sales, Products, etc.) and toggle through the different options to see detailed information about your sales.
Hover over the information icon to view a label's definition.
What the money figures mean:
Net earnings: the money you've received, including shipping, after discounts, Beventi's fees and refunds. It's before your payment provider's processing fees, and it won't subtract shipping label costs or your other business expenses.
Gross sales: the full value of your orders, including shipping and any balances buyers haven't paid yet, before discounts, fees and refunds. On the Direct tab, this is also called Order revenue.
Discounts: coupon and discount amounts taken off your orders, including free shipping coupons.
Refunded: money you returned to buyers on orders placed within the dates selected.
Outstanding: what buyers still owe on deposit and payment plan orders.
Average order: gross sales less discounts, divided by the number of orders.
Shipping charged: what buyers paid you for shipping. It's already part of Gross sales.
Note: Neither Gross sales nor Net earnings will include the reader fee, which is added on top of the order price and goes to Beventi.
Tip: The Net Amount on an order's page is that order's net earnings. Reports adds these up for every order placed within the dates selected.
How to see your fees
For a direct sales form: click on the Direct tab and click the form. Its side panel will show Platform fees in a line-by-line breakdown. This is the only place on screen where Reports shows a fee total.
For everything else: download your sales and add up the platform_fee and reader_fee columns. See Download figures for your bookkeeper.
For more information on Beventi's fees, see Understanding Beventi Fees.
Deposits and payment plans
When a buyer pays a deposit, the whole order will count straight away in Orders, Units sold and Gross sales. Net earnings will only count what's been paid, less fees, and the rest will show as Outstanding.
When the buyer pays the balance, Net earnings will go up and Outstanding will go down in the period the order was placed, not the period the money arrived.
Example: A reader places a $200 event order in March and pays a $100 deposit. They pay the $100 balance in April.
Each payment will charge the buyer $102.00 (including the $2.00 reader fee), and Beventi's $2.99 platform fee will come off each one.
After the deposit, March will show Gross sales of $200.00, Net earnings of $97.01 and Outstanding of $100.00.
After the balance is paid, March will update to Net earnings of $194.02 and Outstanding of $0.00. April won't show anything for this order.
Your payment provider will show two separate $102.00 payments on two dates, each with its own processing fee.
Important: Because later payments and refunds update the original order, a month or quarter you've already closed can change. Keep a note of the date you downloaded any figures you share with your bookkeeper.
Note: Reports uses your device's timezone. If a team member in a different timezone views Reports, their totals may be slightly different from yours around the start or end of a period.
Understand refunds
When you refund an order:
Refunded will go up in the period the order was placed, whenever you issue the refund.
The order's Net earnings will drop by the refund, but never below $0.
The order will stay in Orders and Gross sales.
Units sold won't go down. The Products tab will show Units refunded when you refund the whole order or specific items (but not a custom amount).
Important: Beventi's fees aren't returned when you refund. The refund screen will remind you: Platform & transaction fees are not returned. You can choose who covers the platform fee:
Leave Deduct platform fee from the reader's refund off (the default), and the buyer will get back the full amount. You'll cover the platform fee.
Turn it on, and the platform fee will be taken off the buyer's refund.
The buyer's 2% reader fee is never part of a refund. Your payment provider may also keep its own fee.
Example: A buyer pays $40.00 for a direct order. Your platform fee is $1.20, so you keep $38.80. You then refund the full $40.00 with the deduct option off.
The refund screen will show Your net after refund as -$1.20, because you've covered the platform fee.
Reports will still count 1 order, with Gross sales of $40.00, Refunded of $40.00 and Net earnings of $0.00.
In the form's panel on the Direct tab, Other adjustments will show +$1.20 so the lines add up. This is the fee you covered. It doesn't mean the fee was returned.
Check whether shipping covers your label costs
Step 1: Open the Shipping tab
Click on the Shipping tab, using the same dates and channel.
Step 2: Compare what you charged with what you spent
Compare Net shipping with Label spend.
If it's shown, read Margin: Net shipping minus Label spend.
What the shipping numbers mean:
Shipping charged: what buyers paid for shipping, before discounts and refunds.
Net shipping: shipping after shipping discounts (such as free shipping coupons), Beventi's platform fee on shipping and shipping refunds.
Labels purchased: labels bought through Beventi's Easyship integration for orders placed in your dates. Voided labels won't count.
Label spend: what those labels cost, in the currency your carrier billed.
Avg label cost: label spend divided by the labels that have a cost.
Margin: Net shipping less Label spend.
Example: A buyer pays $120.00 for shipping. Beventi's 2.99% fee on the shipping is $3.59, so Net shipping will be $116.41. You buy the label through Easyship for $95.00, so your Margin will be $21.41.
Important: Margin can look higher than your real shipping profit. Labels you bought somewhere else (or shipments you sent by hand) won't have a cost in Reports, and labels still waiting on a cost will show as a line like "3 shipments without label cost yet". The shipping your buyers paid will still count, so Margin will read higher until every cost is in.
Note: Margin will only appear when your carrier bills in the same currency your buyers paid in, and at least one label has a cost. If your labels were billed in more than one currency, use the Label currency selector at the top of the tab. The Carriers card will break down your label spend by carrier and service.
Frequently Asked Questions (FAQ)
Why doesn't Net earnings match my bank deposit?
Your buyers pay straight into your own payment provider account, such as Stripe or PayPal. Your payment provider will take its own processing fees, may convert currencies, and will pay out to your bank on its own schedule. Reports groups money by the date each order was placed, while your payment provider records each payment and refund on the day it happens. To match an order with a payment, see Download figures for your bookkeeper.
Why doesn't Reports match my Dashboard or order form?
They count things a little differently:
The Dashboard's Net Sales and Total Orders include every order in its dates, even ones still waiting for payment, and it only offers Today, Last 7 Days and Last 30 Days. To compare, pick the same dates in Reports with All channels.
An order form's Overview covers the form's whole life, so set Reports to Lifetime to compare. Its Total Orders won't count refunded, partially refunded or delivered orders, and its Gross won't include balances buyers still owe.
Can I change the fee percentage on my forms?
No. The platform fee is the same for every seller, and the reader fee is also set by Beventi. Each payment on a payment plan will carry its own fees.
Does canceling an order refund the buyer or remove the sale?
No. Canceling and refunding are separate. A canceled order that took a payment will still count in Orders and Gross sales, because the money was collected. Using Cancel & restock on a deposit or payment plan order will remove its units and unpaid balance, but what you received will stay in Net earnings until you refund it. See Refunds and cancellations.
Why doesn't my label spend match my Easyship bill?
Reports counts labels by the date the order was placed, not the date you bought the label, and it leaves out voided labels. To see each label by purchase date, open the order form's Shipping tab, click the ... menu, then Label activity and Export CSV. See Review Easyship label activity and costs.
Why is Shipment status higher than Labels purchased?
Shipment status counts every shipment, including voided labels and parcels without a label bought through Beventi. Labels purchased only counts labels bought through Beventi that weren't voided.
Can Reports show the tax I collected, or convert everything to my home currency?
No. Beventi doesn't track tax collection, and Reports will never convert currencies. Keep each currency separate and check with your accountant about how to use your figures.
