Download your sales for any month, quarter or year, add up your totals, and share them with your bookkeeper.

Getting ready for tax time, or sending your monthly numbers to your bookkeeper? Reports can download all of your sales for any month, quarter, or year as one spreadsheet file, called the accounting CSV. Each row will be one order, with its sales, discounts, Beventi's fees, refunds and net earnings. You can also use this report to match an order to your Stripe or PayPal account.

Before you start: Only the account owner and team Admins can download this file. It will include your sales and Beventi's fees, but not tax collected, your payment provider's processing fees, or payouts to your bank. As the download window says: "Beventi does not track tax collection. This export reports gross, net, and fees only. It is not a tax return."

Download your sales

Step 1: Check your fiscal year (if you report by quarter or financial year)

Reports will set your fiscal year from your account's country until you change it:

  • Australia: July

  • United Kingdom, New Zealand, India, Isle of Man, Hong Kong: April

  • South Africa: March

  • Everywhere else, including the United States and Canada: January

To change it:

  • In Reports, click the date button and choose Fiscal year.

  • At the bottom of the panel, choose your month in Your fiscal year starts in.

  • If your fiscal year starts in January, you won't see Fiscal year. Choose Year instead, then click Change beside "Your fiscal year starts in January."

Important: Your fiscal year start will save straight away for everyone on your team, even if you then click Cancel. It won't change any of your numbers, only how quarters and fiscal years are laid out and named.

Step 2: Choose your dates

  • Click the date button and choose Fiscal year, Quarter, Year, Month or Lifetime, or pick your own start and end dates (up to 731 days).

  • Click Apply.

Note: A fiscal year is named after the year it ends in. With a July start, FY2026 runs from 1 July 2025 to 30 June 2026. With an April start, FY2026 runs from 1 April 2025 to 31 March 2026. Quarters will follow your fiscal year, so Q1 starts in your starting month.

Tip: Fiscal years and quarters always start on the 1st of a month. If your tax year starts on another day, choose your own start and end dates instead.

Step 3: Choose your channel

  • Go to the Overview or Sales tab.

  • Leave All channels selected to include everything you sold, or choose one channel, such as Wholesale.

Note: The channel button is hidden on the Events, Direct, Wholesale and Tickets tabs, so choose your channel on Overview or Sales.

Step 4: Download the file

  • Click Export at the top right of the page. On a phone, it will show as a download icon.

  • Check the Dates and Channel shown in the window. A quarter will be shown by its months, for example "Jul to Sep 2026".

  • Click Download CSV. The file will download to your computer with a name like beventi-sales-2026-07-01-2026-09-30.csv.

Important: The download will only follow the dates and channel at the top of the page. It won't follow the tab you're on or that tab's own filters, such as an event search. It will always include every currency, and it will include refunded orders and canceled orders that took a payment. Orders still waiting for their first payment won't be included.

Open the file in a spreadsheet

In Google Sheets

  • Create a blank spreadsheet.

  • Click File > Import, then Upload, and choose your beventi-sales file.

  • Set Separator type to Comma and click Import data.

In Excel

  • Double-clicking the file will usually open it.

  • If names with accents look jumbled, open a blank workbook and click Data > From Text/CSV. Set File Origin to 65001: Unicode (UTF-8) and Delimiter to Comma, then click Load.

  • On a Mac, click File > Import, choose CSV file, and pick Unicode (UTF-8).

Tip: The order_date column includes the time. To get just the date, add a column with =LEFT(B2,10). For the month, use =LEFT(B2,7).

Add up your totals

Step 1: Make a pivot table

  • Select all of your data. In Google Sheets, click Insert > Pivot table. In Excel, click Insert > PivotTable.

  • Add currency as a row.

  • Add gross, discount, platform_fee, reader_fee, refunded and net_earnings as values, summed.

Each currency will get its own line of totals. To split each currency by sales channel, add channel as a second row.

What the main columns mean:

  • gross: items plus shipping, before discounts. For deposits and payment plans, it's the full order value.

  • discount: coupon and discount amounts (not the codes).

  • shipping_charged: the shipping on the order. It's already inside gross, so don't add it again.

  • total_charged: everything your payment provider charged for the order, including the reader fee.

  • reader_fee: the 2% your buyer paid on top at event preorders and tickets, which goes to Beventi.

  • platform_fee: Beventi's 2.99% fee on your sale.

  • refunded: money returned to the buyer.

  • net_earnings: what you kept after Beventi's fees and refunds, before your payment provider's fees.

  • outstanding: what the buyer still owes.

  • channel: direct, event (event preorders), ticket or wholesale.

  • status, event, order_form, order_number, buyer_name and payment_method will help you find and filter orders.

Example: Your quarter had two orders in USD: a $100 event preorder and a $40 direct sale. Your totals will be gross 140.00, reader_fee 2.00, platform_fee 4.19 and net_earnings 135.81. Beventi's fees came to 6.19 in all. Note: Questions about how to treat each amount should be directed to your accountant.

Important: Never add different currencies together. Also, because later payments and refunds update the original order, downloading the same period again later can give different numbers. Keep a note of the date you downloaded each file.

Get totals for one event

  • Download your sales for dates that cover when the event's orders were placed.

  • In your spreadsheet, filter the channel column to event and ticket.

  • Filter the event column to your event, or make a pivot table with event and currency as rows.

  • Add up gross, discount, platform_fee, reader_fee and net_earnings. Count order_number to see how many orders the event had.

Example: Three readers each preorder $100 of books at your event. Your columns will total gross 300.00, total_charged 306.00, reader_fee 6.00, platform_fee 8.97 and net_earnings 291.03. So Beventi took $14.97 in all: $8.97 from you and $6.00 your buyers paid on top.

Match an order to your Stripe or PayPal account

  • Download your sales for dates that include the day the order was placed.

  • Filter payment_method to stripe or paypal.

  • Find the payment's amount in total_charged, and check order_date against the payment's date.

  • Check the payment's description in your payment provider account to confirm what it was for.

Recent payments will have a description that says Event: followed by the event's name, Order Form: followed by the form's name, or Wholesale. A deposit will add (Deposit only). Later installments will add (Order #N installment) and a balance payment will add (Order #N balance), where N is the order number. Older payments may not have a description, so match those by amount and date.

Note: If an order was paid in parts, total_charged will add all of its payments together, and payment_method will only show the provider of the first payment. Match each payment by its description and order number instead. The file doesn't include payment provider transaction IDs.

Give your bookkeeper access

If you'd like your bookkeeper to download the file themselves, they'll need the Admin role. If they're already on your team as an Assistant:

  • From your profile menu, open Team Members.

  • Click the menu beside their name and choose Change role.

  • Choose Admin, then click Change role. They'll see Reports after refreshing the page.

If they aren't on your team yet, click Invite on the same page, enter their email address, choose Admin and click Send Invitation. See How to Invite a Team Member.

Important: Admins can see and manage your financials, orders and products, plus some account settings such as Payments. There isn't a role that only includes Reports. Assistants can't open Reports, but they'll still see some money figures, such as the Dashboard's Net Sales card. Only the account owner can invite team members or change roles.

Frequently Asked Questions (FAQ)

I'm doing my BAS, GST or VAT return. Where are Beventi's figures?

Pick the quarter in the date button and download it. The file will give you your gross sales, discounts, refunds, Beventi's fees and net earnings for each currency, but no tax figures. Your accountant can tell you how to use them in your return.

Which column matches my payment provider's yearly tax form?

total_charged is what your payment provider charged for each order. Your totals may still be different, because Reports places each order on the date it was placed, while payment providers count each payment and refund when it happens. Your accountant can compare the two using your payment provider's statements.

Can Reports email the file to my bookkeeper automatically?

No. Reports doesn't send scheduled or emailed reports. Download the file and share it yourself, or give your bookkeeper the Admin role so they can download it.

Can I print Reports or save it as a PDF?

Reports doesn't have a print or PDF button. Open the file in a spreadsheet, then print it or save it as a PDF from there.

How do I download more than two years?

Your custom dates selection can cover up to 731 days. Choose Lifetime to download everything in one file, or download each year separately.

Why didn't my download work?

If you see "Too many exports in the last minute," your account has reached its limit of 6 downloads a minute (shared with your team). Wait a minute and try again. If you see "The export could not be generated," click Download CSV again. If it keeps happening, message our support team with the dates you chose.

My file only has a header row. Why?

No orders were placed in those dates for the channel you chose. Try wider dates, or set the channel back to All channels.

Why are refunded and canceled orders in my file?

They're included on purpose, because money was collected on them. Filter the status column to leave them out.

Why do some names start with an apostrophe?

A name or title that starts with =, +, - or @ will get an apostrophe in front, so your spreadsheet treats it as text instead of a formula.

Can I get item quantities, buyer addresses or label costs?

Not in this file. It won't include items, addresses, buyer countries, coupon codes or label costs. For one row per item on an order form, open the form and go to Orders > Export, then choose Detailed (One row per item). Shipping addresses are in the order form's Shipping export. For label costs, see Review Easyship label activity and costs.
