How reader orders are sent to Bookvault

When a reader's order goes to Bookvault, how automatic and manual sending work, and which orders always wait for you to send them.

When a reader pays in full for a book you've linked to Bookvault, Beventi can pass the order to Bookvault to print and post. You choose whether that happens by itself or only when you press Send. While automatic sending is off, every order waits for you.

When an order is ready for Bookvault

  • It's paid in full. An order on a deposit or payment plan waits until the balance is paid.

  • Every book in the parcel is linked to a Bookvault title that Bookvault can print.

  • It isn't refunded, canceled or being refunded.

  • The parcel has no shipping label and hasn't been marked shipped. If you bought a label, void it first.

If a book in the parcel isn't linked, the parcel stays with you to ship. If a linked book stops being available at Bookvault, or you unlink it after the order came in, the order shows Needs a link with a Link products button.

Choose automatic or manual sending

Go to Bookvault > Settings and find Automatic fulfillment. Turn on the switch next to it and paid orders for your linked books go to Bookvault by themselves (a few kinds always wait for you, listed below). Leave it off and paid orders wait in Ready to send until you send them. If you finished first-time setup without switching it off, it's already on. Press Save changes either way.

With automatic sending on, you can set Wait before sending, from Immediately up to 3 days. A new wait applies to orders paid from then on. While an order waits, it shows Scheduled in Ready to send with its send time. Press Send now to send it straight away, or Hold to keep it back until you press Send. If you turn automatic sending off, scheduled orders wait in Ready to send instead.

Send an order yourself

  1. Open your profile menu and choose Integrations, then press Manage on the Bookvault card.

  2. Go to Orders and choose the Ready to send tile.

  3. Press Send on the order.

  4. Read the confirmation, then press Send to Bookvault.

To send several at once, tick them and press Send selected. An order that can't be ticked needs a word from you, so send it on its own. You can also open the order, go to its Shipping tab and use Send to Bookvault on the Fulfillment card.

The order then moves to Sending and With the printer. If Bookvault needs something from you first, such as approving a higher price, it waits under Needs you instead. See "Fix a Bookvault order that needs you".

Orders that always wait for you

Even with automatic sending on, these never go by themselves. Most of them aren't listed in Ready to send, so send them from the order's Shipping tab with Send to Bookvault.

  • Event preorders, so you can sign them.

  • Wholesale orders.

  • Orders with a book you offer signed.

  • Parcels where the reader paid for a courier service, because Bookvault can't promise it. The order shows under Needs you. Press Open order and buy that label yourself, or press Send to Bookvault anyway to have Bookvault use its own delivery. With automatic sending off, it waits in Ready to send, and Send asks you to confirm.

  • Parcels that mix linked books with things you post yourself. Usually you ship the whole parcel. Splitting a parcel between you and Bookvault is only available once it's switched on for your account. If you don't see split parcels working on your orders, it isn't switched on for your account yet. When it is, Bookvault's part waits in Ready to send unless you turn on Also send automatically when you ship other items on the same parcel yourself in Settings. Bookvault then charges its own postage for its part.

  • Orders where Bookvault's price is above your approval limit, until you approve it.

Pickups never go to Bookvault, because there's nothing to post.

FAQ

Why didn't my order go to Bookvault?

Open the order and go to its Shipping tab. The Fulfillment card says why, for example "Not sent automatically: event preorders stay with you." Otherwise, check that automatic sending is on, the order is paid in full and every book is linked.

Can I stop an order going to Bookvault automatically?

Yes. While it shows Scheduled in Ready to send, press Hold. It then waits until you press Send.

Will Bookvault send a signed copy?

No. Bookvault posts unsigned copies, which is why event preorders and orders with a book you offer signed wait for you.

Can my assistant send orders to Bookvault?

Only the account owner or an Admin can send or hold orders and change these settings. See "What is the Admin Role?".

Does sending an order cost me anything on Beventi?

No. Bookvault charges your own Bookvault account for printing and delivery. See "Understand Bookvault costs and who pays".
