Choose your Bookvault settings

What each option on the Bookvault Settings page does: automatic sending, the wait before sending, cost approval, shipping speed and print partner.

Your Bookvault settings decide how paid orders reach Bookvault and how much they can cost before Beventi checks with you. You can change them at any time, and nothing changes until you press Save changes.

Open your profile menu, choose Integrations, press Manage on the Bookvault card, then choose Settings. Only the account owner or an Admin can change them.

Automatic fulfillment

This switch decides whether paid orders go to Bookvault by themselves.

  • On: as soon as an order for a linked book is paid in full, Beventi sends it to Bookvault to print and post. Bookvault bills your Bookvault account.

  • Off: paid orders wait in Ready to send until you press Send.

Even with it on, some orders always wait for you, such as event preorders (so you can sign them) and orders with a book you offer signed. The full list sits under Always waits for you, which shows when the switch is on. Wholesale orders wait for you too, even though that list doesn't mention them. "How reader orders are sent to Bookvault" explains each one.

If you turn it off while orders are scheduled, Beventi tells you how many will wait in Ready to send instead.

Wait before sending

With automatic sending on, you can choose a pause between payment and sending: Immediately, 1, 2, 4, 8 or 12 hours, or 1, 2 or 3 days. This gives you time to check, edit or hold an order before Bookvault prints it.

Orders with items you post yourself

Also send automatically when you ship other items on the same parcel yourself covers an order that mixes a Bookvault book with something you post, like a tote bag. With it on, Bookvault sends its part and charges its own postage for it, so the reader gets more than one box. With it off, the order waits for you.

If these orders still wait for you with it on, splitting a parcel isn't switched on for your account yet, and you post the whole parcel yourself.

Approve costs above

This is your safety net if Bookvault's price comes in higher than Beventi estimated. If the difference is more than the percentage you set, the order waits for you to approve it. Type a percentage from 0 to 100, or leave it empty to use the default the box shows.

For example, with 10%, an order Beventi estimated at $6.00 goes ahead at up to $6.60. If Bookvault asks for more, it waits under Cost to approve. Once you approve a price, that price becomes the limit for that order, so any further rise waits for you again. See "Fix a Bookvault order that needs you".

Shipping speed

Which Bookvault service an order ships on:

  • Cheapest tracked (the default): the lowest price with tracking.

  • Cheapest: the lowest price. It may not be tracked.

  • Tracked: a tracked service, not always the cheapest.

  • Quickest: the fastest service. It costs more.

Print partner

This is where Bookvault prints your books, and it sets the currency Bookvault bills you in. Choose United Kingdom (GBP), United States (USD), Australia (AUD) or Canada (USD). Pick the one closest to most of your readers.

Until you choose, the field shows Default, and Beventi uses the one in your country (or the United Kingdom if there isn't one there). If you sell in a currency that suits a different print partner, you'll see a suggestion such as "United States (USD) matches the currency you sell in." with a button to use it.

When changes take effect

  • New Shipping speed and Print partner choices apply to new orders. Orders already sent keep the choices they were sent with.

  • A new Approve costs above limit applies to every cost check from now on.

  • A new Wait before sending applies to orders paid from now on. Orders already waiting keep their send time.

Press Save changes and you'll see "Fulfillment settings saved". On a phone, an Unsaved changes bar with Save appears once you change something. If you try to leave first, Beventi asks before your changes are lost.

FAQ

I turned on automatic sending, so why is an order still waiting?

It may be one of the orders that always wait for you, it may not be paid in full yet, or your wait before sending hasn't passed. Open Orders to see the reason on the order. See "How reader orders are sent to Bookvault".

Can I check orders before Bookvault prints them?

Yes. Leave automatic sending off and send each one yourself, or set Wait before sending so you have time to hold one.

Why is an order waiting under Cost to approve?

Bookvault's price came in higher than your Approve costs above limit allows. Open the order and approve it if you're happy with the new price. See "Fix a Bookvault order that needs you".

Why does Bookvault bill me in pounds (or dollars)?

Your Print partner sets the billing currency. Change it here if most of your readers are elsewhere.

My reader's order has no tracking number. Why?

If Shipping speed is set to Cheapest, the parcel may not be tracked. Cheapest tracked keeps tracking on.
