How Bookvault printing and shipping works

What Bookvault does for your Beventi orders, what you need to start, who pays for printing, and what your readers see.

Bookvault is a print-on-demand printer. It can print your books and post them straight to your readers, so you don't need boxes of stock at home. You connect your own Bookvault account, link your books, and Beventi passes paid orders for those books to Bookvault to print and ship. Bookvault bills your own Bookvault account for that work.

What you need

  • A Bookvault account of your own. Beventi doesn't create one for you.

  • To be the account owner or a team Admin on Beventi.

  • Books in your Bookvault library that match what you sell on Beventi, or titles you'd like to start selling.

How it works, step by step

  1. Connect your account. Open your profile menu, choose Integrations, and press Connect on the Bookvault card. See "How to connect Bookvault to Beventi".

  2. Link your books. Tell Beventi which of your products matches which Bookvault title, or import titles from Bookvault. Nothing goes to Bookvault for a book that isn't linked. See "Link your books to Bookvault" and "Import your Bookvault titles into Beventi".

  3. Choose how orders are sent. Paid orders can go to Bookvault automatically, or wait in Ready to send until you press Send. See "Choose your Bookvault settings" and "How reader orders are sent to Bookvault".

  4. Optional: order stock for yourself. Have printed copies sent to you or to an event venue from an order form's Stock Needed tab, using Order stock. See "Order printed stock from Bookvault".

Once Bookvault has an order, you can follow it right through to delivery. See "Track a Bookvault order from payment to delivery".

Who pays for what

  • Your reader pays you for the book and its delivery, just as they do today.

  • Bookvault bills your own Bookvault account for printing and posting. If your Bookvault balance runs low, the order waits under Needs funds so you can top up.

  • Beventi doesn't charge you for printing or for stock orders. Beventi's usual fee on what the reader pays still applies. See "Understanding Beventi Fees".

You can see what each order costs at Bookvault before and after it's sent. See "Understand Bookvault costs and who pays".

What your readers see

Your readers see your name, not Bookvault's. Checkout, their order page and every email show your name, including the "on its way" email with tracking. If a reader replies to one of those emails, it comes to you.

Orders that stay with you

Some orders never go to Bookvault on their own, so you stay in control of them:

  • Event preorders and orders with a book you offer signed wait so you can sign them. You can still send an order to Bookvault by hand.

  • Wholesale orders wait for you. You can still send orders to Bookvault by hand.

  • Event pickups never go to Bookvault. They're collected, not posted.

  • Parcels where the reader paid for a courier, parcels with a book that isn't linked, and parcels that mix a Bookvault book with something you post yourself stay with you too. You can ask Bookvault to send just its part of a mixed parcel in Settings. If that doesn't seem to work for you, it isn't switched on for your account yet.

The full list is in "How reader orders are sent to Bookvault".

Who on your team can use it

The account owner and Admins can connect Bookvault, link books, send and approve orders, change settings and place stock orders. An Assistant can see where an order is up to and what it costs, but can't send or change it, and can't open the Bookvault pages under Integrations. See "What is the Admin Role?" and "What is the Assistant Role?".

FAQ

Do I pay Beventi for the printing?

No. Bookvault bills your Bookvault account for printing and postage. Beventi's usual fee on the reader's payment applies, as it does for any sale.

If my readers pay my normal shipping rates, who pays Bookvault's postage?

The reader pays you your shipping rate at checkout, and Bookvault bills your Bookvault account for the postage it uses.

Can I use Bookvault for some books and ship others myself?

Yes. Only books you link go to Bookvault. Anything you leave unlinked keeps selling exactly as it does today.

Will my readers know Bookvault printed their book?

Not from Beventi. Checkout, the order page and every email show your name, not Bookvault's.

What happens if I refund or cancel an order Bookvault is printing?

Beventi asks Bookvault to stop it. Once printing has started, Bookvault may not be able to stop it, and it can't stop one that has shipped. See "What happens to a Bookvault order when you refund or cancel".

Where do I find Bookvault in my dashboard?

Open your profile menu, choose Integrations, then press Manage on the Bookvault card. The Fulfillment button on your order forms list is for packing and handing out event orders. It isn't the Bookvault page.

What is the "Print with Bookvault" card I see in the corner?

A short introduction to Bookvault that shows on some dashboard pages for a limited time. Press Learn more to read about it, or dismiss the card if you don't need it. It doesn't change anything on your account.
