Understand Bookvault costs and who pays

What Bookvault bills you, what your reader pays, and where to find every Bookvault cost in Beventi.

Bookvault bills printing and delivery to your own Bookvault account. Beventi doesn't charge you for printing or for stock you order. Your reader pays you for their books and shipping, as usual.

Who pays what

  • Your reader pays you the book price plus your shipping rate.

  • Bookvault bills you for each order it prints, stock orders included: printing, postage and any other charges it adds.

  • Beventi's usual fee applies to what your reader pays, shipping included, as on any order with shipping. See "Understanding Beventi Fees".

The shipping your reader pays and Bookvault's postage charge are separate amounts. If Bookvault's charge is higher, or you gave the reader free shipping, you cover the difference.

Read the cost on an order

On the order's Shipping tab, the Bookvault parcel shows a cost line like this:

  • Bookvault cost: £9.80 · Printing £6.20 · Delivery £3.60 · Order total

It's Bookvault's figure for the whole order, ending with how firm it is:

  • Estimate: the order hasn't been placed with Bookvault yet, or it's waiting for you (for example with Needs funds). An estimate is only a guide. It isn't what you've been charged.

  • Order total: Bookvault has reported the order's total.

  • Invoiced: Bookvault has invoiced the order.

Waiting for Bookvault's figures means Bookvault has the order but hasn't reported a total yet.

Where to find your Bookvault costs

  • One order: its Shipping tab, or its row on the Bookvault Orders page.

  • One order form: the form's Earnings tab, under Fulfillment costs. It splits Reader orders into Printing, Delivery, Other and Total, and shows Print runs (stock) as a total. It also shows how many orders are waiting for Bookvault's figures. The Overview tab has a Bookvault costs tile for a quick total.

  • A stock order: on the form's Stock Needed tab, open Order stock, press Details on the order and look under Cost.

Beventi doesn't total your Bookvault spend across order forms. Your Bookvault account has that, and the final word on what you've been billed. Net Earnings doesn't subtract Bookvault costs, so allow for them when you work out what you made.

Why amounts can be in different currencies

Bookvault bills in the currency of the print partner that prints your order. That's GBP for the United Kingdom, USD for the United States and Canada, and AUD for Australia. You choose it with Print partner in your Bookvault Settings, and a change applies to new orders only.

We never add different currencies together, so you may see a separate total for each.

What "Cost ≈" means

On an order form's Products tab, a linked book shows the Bookvault mark and a price such as Cost ≈ $6.40. That's Bookvault's printing price for one copy, saved when you linked the book ("≈" means it was converted to your form's currency). Hover over it for Bookvault's own figure. It's a guide only: it leaves out delivery and may be out of date if Bookvault has changed its prices.

Price rises and low balances

Approve costs above in your Bookvault Settings is a percentage over the estimate. If Bookvault's price goes further, the order waits for you as Cost to approve. Nothing is sent until you say yes. Needs funds means your Bookvault balance is too low. "Fix a Bookvault order that needs you" walks through both.

Who can see costs

The account owner, team Admins and Assistants see Bookvault costs: on an order, in a stock order's Details, on the form's Earnings tab and in the Bookvault costs tile on Overview. Only the account owner and Admins can open the Bookvault pages (Orders and Settings), place stock orders, or fix and withdraw orders. A team role without access to financial information sees an order's Bookvault status, but no cost figures.

FAQ

Does Beventi charge me for Bookvault printing or shipping?

No. Bookvault bills your own Bookvault account. Beventi's usual fee applies only to what your reader pays you.

Why is my Bookvault cost in pounds when I sell in dollars?

It's your print partner's currency. You can change Print partner in Settings for new orders.

Why doesn't the shipping my reader paid match what Bookvault charged?

Bookvault bills its own figure, separate from the shipping rate your reader paid at checkout. If Bookvault's charge is higher, you cover the difference.

Where can I see how much I've spent with Bookvault?

Per order form, under Earnings > Fulfillment costs. For everything you've spent, check your Bookvault account.

Where's my Bookvault invoice?

In your Bookvault account. The order shows Invoiced in Beventi once it's invoiced.

My assistant can't open the Bookvault pages or fix an order. Is something missing?

Not necessarily. Assistants can see cost figures and the Earnings tab, but they can't open the Bookvault pages or place or fix orders. Only the account owner and Admins can. See "What is the Admin Role?".
