Form Check

Learn how Personal Training members upload video form checks for technique feedback, how coaches review and send comments or videos via the Dashboard and app, and how video statuses, retakes, and automatic notifications work.

Overview

A form check is a video of a lift that a member films and sends to their coach for feedback on technique. The member records or picks the video in the mobile app.

You review it in the Dashboard or in the mobile app, and you send written comments, comments pinned to a time in the video, or a short reply video.

Only members with an active Personal Training membership can send a form check. The trainer on that membership becomes the assigned coach for each video.

Communication goes one way: you give feedback, and the member reads it. The member cannot reply in a thread.

Structure

A form check has two parts: the video that the member sends, and the feedback comments that you write on it. Each video always has one status. The status tells you and the member what happens next.

The video

Each video holds this data:

  • The member who sent it, and the upload date.

  • The exercise, if the member filmed from inside a workout. A video from the drawer menu has no exercise.

  • The workout assignment, if the member filmed from a workout.

  • The assigned coach. This is the trainer on the member's Personal Training membership at upload time.

  • The reviewing coach. When a coach opens the video, the system records that coach for 30 minutes. This is only a hint to other coaches. It does not lock the video.

  • A reupload reason and note, if a coach asked for a new video.

The feedback comment

Each comment holds text (at most 4000 characters), an optional reply video, and an optional time in seconds. A comment with a time is pinned to that point in the member's video. A comment is either a draft or published. The member sees only published comments.

Meaning

Pending

Waiting for review

The video waits for a coach.

Reviewed

Reviewed

A coach published feedback.

Awaiting reupload

Retake requested

A coach asked the member to film again.

Archived

Archived

A coach closed a reviewed video, or the member deleted it.

Rejected

Rejected

The system refused the video because it is longer than 10 minutes.

The Dashboard queue has no tab for Rejected videos.

A retake does not reopen the old video. The member films a new video, and it starts again as Pending. A member can also delete a video at any status, and the system then archives it.

Create a form check

The member creates each form check in the mobile app. You cannot create one for a member in the Dashboard.

Before a member sends their first video, do these steps:

  1. Make sure that the member has an active Personal Training membership. The start date must be today or earlier. The end date must be empty or today or later.

  2. Make sure that you are the trainer on that membership. The system assigns each new video to that trainer.

  3. Tell the member how to film: from the side, in good light, and with at least one full rep.

If the membership has no trainer, the video has no assigned coach. The gym owners then get the new-upload alert.

How the member uses it

The member sends a video from the mobile app in two ways. From a workout, the app attaches the exercise and the workout to the video.

From the drawer item "Form check", the video has no exercise. Members without Personal Training see a locked screen: "Form check is included with Personal Training."

To send a video, the member does these steps:

  1. Open "Form check" and tap "New video", or start from an exercise in a workout.

  2. Tap "Record from camera" or "Pick from library".

  3. Tap "Upload for review".

  4. Keep the screen open while the app compresses and uploads the video.

A video can be at most 10 minutes long. The app refuses longer clips.

After upload, the member sees the status of each video. When you publish feedback, the member sees your comments, your pinned times, and your reply videos. If you ask for a retake, the member sees your reason, a filming tip, and a "Record new video" button. The retake is a new video in your queue.

The member can delete a video at any time. The app warns: "Your coach can no longer review this video. You cannot undo this." After a delete, the video is gone from your queue. Members keep their video history after their Personal Training membership ends.

Communication

All communication about a form check goes through your feedback and four automatic notifications. There is no chat thread, and the member cannot reply to a comment. If you need an answer from the member, use the normal messaging tools of the gym.

You have three ways to give feedback:

  • A written comment, for general notes.

  • A comment pinned to a time in the video, for one point in the lift. The member can tap the time to jump there.

  • A reply video, for example a demo of the correct movement.

The review email quotes only your first published comment, so put the main point first. The system sends each notification once per channel. Notifications use the main language of the gym. Only English, Danish, German, Norwegian, and Swedish are available. Other languages get English.

Members can turn off the push and email messages in their notification preferences. The Dashboard notification settings page has no form check switches for coaches yet. The new-upload email preference exists, but the system never sends that email.

The Notification center in the Dashboard has a "Form checks" filter. The "Needs attention" widget on Client overview shows "Form-check videos to review" with the number of pending videos.

Review and give feedback

In the Dashboard, you collect comments as drafts and then publish them all at once. In the mobile coach app, each comment goes to the member immediately.

In the Dashboard

Open Coaching > Form checks. The queue shows the oldest video first, so you work in the order members sent them. Use the tabs "Pending", "Awaiting reupload", "Reviewed", and "Archived" to filter the list. Owners see all videos of the gym. Other coaches see only the videos assigned to them.

To review a video, do these steps:

  1. Click a video in the "Pending" tab.

  2. If the page shows "Video is still processing", wait some minutes and open it again.

  3. Play the video. Use "Playback speed" (0.25x to 2x) to see the movement slowly.

  4. To pin a comment, pause at the point and click "Mark current time". Then turn on "Pin to current time".

  5. Type your note in "Feedback".

  6. If you want to show the movement, click "Add reply video" and pick a file.

  7. Click "Add to draft". The comment appears with the label "Draft". The member cannot see it yet.

  8. Repeat steps 4 to 7 for each point.

  9. Click "Send feedback (n)" to publish all drafts. The status changes to Reviewed and the member gets a notification.

If the form is good and you have nothing to add, click "Approve — no notes". The member then sees "Your form looked good. Keep it up!"

The comment box shows only while the status is Pending. After you publish, you cannot add more comments in the Dashboard.

In the mobile coach app

Open form checks from the coach Today screen. The list has the filters "Pending review" and "Reviewed". Type in "Add written feedback…", tap "Pin at current time" if needed, and tap "Submit feedback". The comment is published at once. The mobile app has no "Approve — no notes" button.

Ask for a retake

If the video does not show what you need, ask for a new one. You can do this only in the mobile coach app. Tap "Request re-upload", pick a reason, add an optional note, and tap "Send request". The reasons are: wrong exercise, bad camera angle, too dark, too short, incomplete rep, or other. You cannot ask for a retake after you publish a review.

Edit, delete, or archive

The server lets the author of a comment edit or delete it for 15 minutes after publishing. Owners have no time limit. The server also lets a coach archive a reviewed video. The Dashboard has no buttons for these actions now.

Tips and questions for new coaches

Tips

  • Open the "Pending" tab each day, or watch the "Needs attention" widget on Client overview.

  • Put your most important point in the first comment. The review email shows only that comment.

  • Pin a comment to each fault. The member can then tap the time and see the exact moment.

  • Use a reply video when words are not enough. A 10-second demo is often clearer than a paragraph.

  • Read all drafts before you click "Send feedback". After you publish, you cannot add or change comments in the Dashboard.

  • If the angle or light is bad, ask for a retake in the mobile coach app before you write feedback.

  • Tell members to film from a workout. The video then shows the exercise name.

Questions

Why is my queue empty? You see only videos assigned to you. Make sure that you are the trainer on the member's Personal Training membership. An owner sees all videos.

Why can another coach see that I opened a video? The system records the coach who opened a video for 30 minutes. This is only a hint. Another coach can still publish feedback.

I published too early. Can I add more? Not in the Dashboard. In the mobile coach app, you can still submit more comments. The member does not get a second notification.

A member says that they cannot send a video. Make sure that their Personal Training membership is active today. Make sure that the video is 10 minutes or shorter.

Where is the video that the member sent? If the member deleted it, it is gone from your queue. If it was longer than 10 minutes, the system rejected and deleted it.
