If your activities sell out then Pebble allows you to capture customer waitlist requests so they can be invited to the activity if spots become available.

Customer waitlist request

  • When an activity session sells out the 'Join Waitlist' button shows instead of the 'Book' button.

  • After clicking the 'Join Waitlist' button the user is taken to the waitlist information capture page where the user will enter in their contact information so you can contact them when space becomes available.

  • After a user submits a waitlist request you will be sent an email informing you of the request - the user will also be added to the activities waitlist within the supplier portal.

Viewing your waitlist

  • Activities that have customers on their waitlist will have a blue tag against their row on the Scheduled Activities page. This tag indicates the number of waitlist requests for this activity.

  • To view a waitlist for an activity click on the kebab menu on the right and side and then click 'Waitlist'.

  • You will then be taken to the waitlist for the selected activity. On this page you will see the following information:

    • Customers who joined the waitlist

    • Customer contact details

    • Date customers joined waitlist

    • Number of attendees they added to the waitlist

    • Dates and times of the sessions they require

    • Booking type of the required sessions (Individual, Block, Subscription)

  • From the waitlist page you can:

    • Filter the waitlist to the dates and times of the requested sessions

    • Export the waitlist as a CSV

    • Add customers to the waitlist by clicking the 'Add to Waitlist' button

    • Manage the capacity of the waitlist by clicking the 'Manage Capacity' button

    • Invite customers on the waitlist to book the activity. First select one of more customers using the checkboxes on the right - then click the 'Invite to book' button. Follow the steps to send an email to the selected customers inviting them to book.

    • Transfer to a different waitlist. First click on the kebab menu on the right and and then click 'Transfer waitlist. Follow the steps to transfer the customer to a different waitlist.

    • Add to activity. First click on the kebab menu on the right and and then click 'Add to activity'. This will open the Registers view where you can add the customer and attendees directly onto the activity.
