Overview

If you have an Agent or Lender who is leaving your team, or you need to reassign leads in bulk between users or categories, the bulk transfer tool is available to you as a Broker/Admin to do so!


How to Access the Bulk Transfer Tool

As a Broker/Admin user, you also have the choice to transfer leads in bulk based on any of the filters within Lead Central (tags, property interest, etc.), with specifics of this process here!

The bulk lead transfer tool is accessible to all Broker/Admin users and can be found in the left-hand menu bar by clicking on the Admin tab, and selecting Users - Agents.

This is where you will begin a bulk lead transfer of an Agent's leads, as well as a bulk transfer of a Lender's leads.


How to Execute a Bulk Lead Transfer

Click on the Actions button in the top right, and then select Transfer Leads to get started.

In the Transfer Leads modal that displays, select whether you're transferring from an Agent or a Lender account, and select the user from the drop-down list.

Then click Continue.

On the next page of the modal, you'll need to select:

What Lead Types you want to transfer

Buyer, Buyer/Seller, Seller, or All lead types

What categories you want to transfer

All, or specific categories

How many leads you want to transfer

All selected, or specific amount by typing in the number of leads

The recipient of the transferred leads

  • If transferring an Agent's leads: All active Agents, or specific Agent(s) selected from a drop-down

  • If transferring a Lender's leads: All active Lenders or specific Lender(s) selected from a drop-down


If bulk re-categorizes a user's leads, select the same user in this drop-down.

The category for the transferred leads


Specific category, or "as is" -- meaning the way the leads are currently categorized in the Agent or Lender's account.

You can select multiple Agents/Lenders from the drop-down by clicking on each user's name. A check mark will be placed next to the user selected and you can click the user's name again to de-select them. Once you've made your selections, simply click outside of the drop-down menu to close it.


Selecting multiple Agents or Lenders will distribute the leads evenly among the selected users.

Once you've made your selections, click the Preview Transfer button to view and confirm the details of the transfer.

Then click Confirm Transfer to start the bulk lead transfer.

Bulk transfers can not be reversed, so make sure to review the selections you've made carefully before clicking Confirm Transfer.

While the bulk transfer is being processed, the user the leads are being transferred FROM will temporarily be set as a Restricted User, and will not have access to their account. This is done to make sure the leads being transferred are not altered during the transfer.


How to View Bulk Transfer History

You can view a list of the bulk lead transfers that have been processed in the past 30, 60, or 90 days by clicking on the View Bulk Transfers link within the Actions drop-down in the upper right corner of the Users - Agents page.



On the Bulk Transfers page, you'll find a list of all the bulk transfers that have been requested by any Broker/Admin user. The list will include the transfer criteria that was selected, as well as the progress of the transfer.

To view more details about the transfer, click on the open link in the Details column.

The transfer details modal will then display the criteria selected as well as the total number of leads transferred.

You can also use the View All Leads in Transfer to see a list of the leads included in the bulk transfer.

To close out of the modal, click the X in the upper right corner or the Got it button in the lower right corner.

A list of the transferred leads will also be sent via email to the Broker/Admin that requested the bulk transfer, as well as the user that received leads, and the one that had them transferred away.


Frequently Asked Questions

Which users will have access to bulk transferring leads?

Only Broker/Admin users have access to bulk transferring leads within the system. As a result, any Agent, Lender or Lender Admin users will need to reach out to you as the Broker/Admin to request a bulk transfer of leads.

As a Broker/Admin, you have two different ways to perform such transfers:

1. Through the Bulk Lead Transfer tool, located under your Users - Agents page, found through the Admin tab of the left-hand menu bar (this allows the choice to bulk re-categorize leads for a given Agent or Lender user as well).
2. Through the Transfer option within the Bulk Actions drop-down menu in Lead Central (this allows the transfer of leads based on specific filters and selections).

Can I use the Bulk Lead Transfer tool to re-categorize leads?

Yes! Simply select the same user for the Choose who to transfer leads from and Choose receiving agent drop-downs to bulk re-categorize a single user's leads.

This option is only available through the Bulk Lead Transfer tool within the Users - Agents page, and is not currently available for leads transferred through the Bulk Actions choice in Lead Central.

There's no option on the Lenders page- how do I transfer Lender leads?

The Bulk Lead Transfer tool under the Users - Agents page is how you will bulk transfer leads belonging to BOTH Agents and Lenders. So you will need to go to this page, select the Actions drop-down menu, and click the Transfer Leads button to transfer a Lender's leads.

Alternatively, if you'd like to transfer specific leads that are already assigned to a Lender, you can also do this through the Transfer option within the Bulk Actions drop-down in Lead Central. When you select Transfer from the drop-down menu, you'll then be given a choice of whether you'd like to transfer the assigned Agent(s) or Lender(s) for the selected leads -- and you can get the leads reassigned from there!

Will Smart-Drip Plans start for bulk transferred leads?

In order for a Smart-Drip Plan to start for a transferred lead, the lead must be changing categories (e.g. New to Qualify). There also must be an Auto-Start setting in place on a plan in the receiving Agent/Lender's account for the category the leads are being transferred to.

What lead information is included in the transfer?

All information within a lead's profile will be included in the transfer. Please note that any To-Dos or Messages that are associated with the transferred leads will also be transferred and will display in the receiving Agent/Lender's account.


How do I transfer all leads with a certain tag to a specific Agent?

In order to transfer all leads based on their tag (or any other filter criteria), simply navigate to Lead Central, select to filter by the tag(s) that you prefer, and then in the list of leads that display, choose to select all of them. Then navigate to the Transfer button from the Bulk Actions drop-down menu at the top of the page. From here, you can make selections for how you'd like the leads to be transferred (including the receiving Agent, etc.), and you'll be able to confirm before moving forward!

Is there a notification email sent after a bulk lead transfer has been completed?

Yes. If the bulk lead transfer was completed through Lead Central, the [BULK ACTION : Transfer Leads] email notification will be sent to the Broker/Admin who requested the bulk lead transfer.

The system email notification sent to the login email address for the Broker/Admin user who requested the transfer in Lead Central contains the following information:

  • Bulk Transfer Date

  • How many leads successfully transferred

  • How many leads failed to transfer

  • Who requested the bulk transfer


If the bulk lead transfer was completed from the Users - Agents page, the [BULK LEAD TRANSFER] email notification will be sent to the following people after the bulk lead transfer:

  • The Broker/Admin completing the transfer

  • The Agent or Lender user having their leads transferred away

  • The Agent or Lender receiving the leads through the transfer


The system email notification sent to all of the users involved in the bulk transfer that was completed from the Users - Agents page will contain the following information:

  • Broker/Admin who requested the bulk transfer: Transfer Date, Leads Transferred, Leads Skipped (Broadcast), Lead Category, Lead Type(s), Transferred From, and Transferred To

  • Recipient: Transfer Date, Leads Transferred, Lead Category, Lead Type(s), Transferred From, and Transferred By

  • User leads were transferred from: Transfer Date, Leads Transferred Away, Lead Type(s), Transferred To, and Transferred By
