How to Edit a Lead Profile
The Edit Profile tab of the lead profile is where you can add additional information for the lead or update information needing to be changed, such as their name, phone numbers, etc.
If your lead has forgotten their password for logging into their account on the site, this is where you can click the Resend Password button and have their password resent to their login email address.
In the bottom part of the page, you can change the lead's email address or add an additional email address to their profile.
The Login choice refers to the email address the lead will need to use to login to their lead account on your website.
The Primary option refers to the default address all emails to this lead will be sent to, such as Smart-Drip Plans.
When composing a new email or setting up an e-Alert, you'll have the option to send the message to all emails associated with the lead's profile.
Lead Profile History
Located within the Summary tab of a lead's profile page, the History section stores a running log of all lead and user activity associated with the lead.
It is a place for you to gather all the information you learn about a lead, and a forum for you to communicate with the Brokers, Agents, and/or Lenders who are also working with the lead.
The History section will log the following:
Lead Website Activity | Including registration, showing requests, questions, calls from the mobile site, completed forms, changes to contact information, and changes to email preferences. |
Email Correspondence | Including Smart-Drip emails, e-Alerts, targeted bulk emails, and individually composed emails |
Text Conversations | Messages sent between you and the lead through your BoomTown Number. |
BoomTown User Actions | Including completed To-Dos, logged Calls, Notes added, Lead Type changes, category changes, lead transfers, Lender/BuyerAgent/Listing Agent assignment. |
Use the checkboxes at the top of the History section to quickly filter your lead's History log by different entry types.
Since e-Alerts tend to send with more frequency than other actions, the e-Alerts checkbox will remain unchecked by default. To view the e-Alerts sent, simply select the checkbox and the History section will update accordingly!
Automatically Logged Activity
Web Activity
A record of your lead's registration:
If a lead comes in with a DIRECT lead source, the first entry in their profile will usually display as above (unless the lead registered through a form completion). The Selected Agent: field will display whether a lead registered on an Agent subdomain site (Selected Agent: Yes) or the overall team website (Selected Agent: No).
After your lead completes the registration on your website, they'll be prompted to complete three optional Lead Qualification Questions and the responses will be logged in the profile above the registration entry:
When a lead uses the Request Showing button, or the question field on a listing Full Details page:
When a lead completes a form on your website (such as the Buy, Sell, Finance, or Contact Me form).
If your lead has not registered prior to completing a website form, the form will act as their registration. If they are completing the forms on the company site, the leads will be assigned to the next Agent in rotation.
In addition to being logged in the History, you'll also receive an email notification for the web activity mentioned above. That activity will also appear as an alert in your Messages panel.
Email Communication
Individually-composed emails will automatically be logged in the lead's History, as long as you originate your email thread in BoomTown. Then, any lead replies will also be logged automatically in the lead profile, and visible to you.
After sending the first email from the BoomTown system, you'll be able to respond from your email provider as long as the reply is within the same discussion thread. To ensure that emails are logged in the History, it is critical that they originate in BoomTown.
Smart-Drip emails will also display in the History section of your lead's profile. You'll see a raindrop icon next to these emails to indicate the email type.
e-Alerts are not displayed by default, but you can use the check-box option to display them in the History. Click the link to view the listings sent out with each e-Alert.
Other Logged Items
Text message conversations between the lead and BoomTown users associated with it will display in the profile.
The most recent message will always display in the entry in the History section -- to view the entire conversation, select the Text Conversation link.
Lead Category Changes - When you change your lead's category, a record of that change will display in the lead's History. You'll also see record of any other user's (Buyer Agent, Listing Agent, Lender) category changes.
Lead Transfers & Assignments - When a lead is transferred, or a new user is assigned to the lead, a record of that transfer or assignment will display in the History.
Email Preferences - When a lead updates their email preferences-- either to opt-out or opt back into communication-- a record of that change will be noted in the Lead's history.
Updated Profile - Anytime your lead's contact information is updated, you'll see a log of that action in your lead's History section.
You'll also receive an email notification anytime your lead updates their preferences or their contact information.
Lead Calls from the Agent's Mobile Site - When a lead clicks on an Agent's phone number on the mobile version of their website, a log of that action will display in the lead's history.
This entry in the profile does not mean that the call was actually completed to you. Instead, it simply means that the phone number was selected -- and most mobile devices prompt a confirmation step before completing the actual call. The call will be received on the number listed in the entry.
Profile Header
The header section of the lead's profile contains a lot of important information for the lead! Moving from left to right, below will detail the specifics!
Social Profile
The Social Profile photo that is displayed in a lead's profile and in Lead Central is dependent on the social profiles found for the lead.
When a lead is manually entered or registers on the site, there will be a Search for Social Profiles link that can be used to manually search for the lead's social profiles, at which point (when selected) the third-party service we use will scan LinkedIn, Facebook, and Twitter (in that order) for any accounts associated with the email address used during registration.
Along with the photo, you will see links to the social media accounts associated with that email address.
If none are found, you will see text indicating this and the lead's initials will display in a grey circle in place of a photo.
Lead Contact Information
Lead Name | At the top of the header section, the lead's name will display. |
Contact Information | You’ll also see the lead’s contact information, such as their phone number, and email address. Changes or additions to this contact information can be made within the Edit Profile tab below. |
Lead Type | To the left of the category, the lead type icon will indicate if the lead is a Buyer, Seller or Buyer/Seller. To change the lead type, simply click on the drop-down arrow to the right of the icon. |
Category | Beneath the lead's name, will display the category the lead is currently in. You can change the category here by clicking on the drop-down arrow next to the category icon. |
Action Buttons | Below your lead’s contact information, you’ll also see action buttons for quickly logging a call, sending a new email, sending a text message, setting a to-do, and adding a note. |
Lead Description | Beneath the lead's contact information is a free-form text field where you can enter a description about the lead to view easily moving forward. |
Tags | Just below the lead's contact information, you can add tags to your individual lead by clicking the Add a Tag + button, and selecting the appropriate tags from your team's list. |
Transactions
In a lead's profile, to the right of the lead contact information, there's a place to enter and monitor current and past Transactions occurring for the specific lead!
Additionally, through an integration with dotloop, you can also easily manage the Transactions for the lead through this location.
You are able to create and edit multiple Transactions for a lead through the Transactions area of their profile, track the Agents associated with the Transactions and manage the steps of the Transaction through a connection with dotloop. You can even search for leads based on their Transaction addresses in the global search bar!
Lead Registration Details
Please Note: Depending on your access level you may not see all of the below options.
Web Activity | Here you'll find the average price point of properties your lead has looked at, along with quick links over to their recent visits, specific properties they've viewed the full details page for, and listings they've marked as Favorites. |
Registered | Details the actual date the lead registered on your site, and how many days, months or years ago it was. |
Source | Displays the original source your lead came to the BoomTown site from. |
Last Logged In | Details how many days, months or years ago the lead last logged into their account on your site. |

Please Note: Transferring the lead will remove your viewing access. As a Broker/Admin user, there's an option to Transfer the lead to another Buyer Agent in your team's account. There's also an option to Remove a Buyer Agent, if only a Listing Agent is applicable for the specific lead. |
Listing Agent | Shows the name of the currently assigned Listing Agent for the lead.
You may transfer the lead to another Agent in your team's account or remove yourself if you're one of the two Agents on the lead.
Please Note: Transferring the lead will remove your viewing access.
As a Broker/Admin user, there's an option to Transfer the lead to another Listing Agent in your team's account. There's also an option to Remove a Listing Agent, if only a Buyer Agent is applicable for the specific lead. |
Lender | Displays the name of the currently assigned Lender for the lead.
Lenders & Lender Admins Please Note: As the currently assigned Lender, you'll have an option to Transfer the lead to another Lender on your team, however, once the transfer is complete, you'll no longer be able to view the lead. Only Lender Admin users will be able to view all leads for Lenders, and transfer them among different Lender accounts. |
Opp Wall | Shows whether the lead is included in the NOW Panel for the Listing Agent and/or Buyer Agent, or if they have chosen to exclude the lead for a specified amount of time. |
Address | Displays the physical address of a lead if the information was added by a user in the CRM. |
Birthday | Details the date of birth for the lead on the account. This will need to be entered manually by a user in the CRM, and the year field is optional. |
Close Date | Details the date the lead closed on their property, so that you can reach out at anniversaries of the date. This will need to be entered manually by a user in the CRM. |
Related Account | Allows you to search for another lead on your team's account, and link that lead's profile page to the lead you're viewing. If the linked lead is assigned to you, you can easily jump back and fourth through the lead profiles through the link. |
Properties Tab
The Properties tab allows you to see all the properties that your lead has viewed the Full Details page for on your website!
On the left side of the Properties page, you'll see a navigation bar that allows you to filter through all properties viewed by a lead.
At the top of the navigation box, properties where the lead took action will be listed. Below that, all viewed properties will be listed, broken out by date.
Key Actions
The top of the navigation box highlights several types of key actions taken by the lead.
These actions are important to note, as they are part of the lead’s expression of special interest in a particular listing.
View Favorites | Leads can mark listings as a Favorite by clicking the heart icon in the right-hand corner of any Full Details page. Click View Favorites in the Properties tab to be directed to a list of those Favorite properties. |
Viewed 3+ Times | Displays a list of all the properties the lead has viewed the Full Details page for more than three times. |
Called | Indicates that a lead selected the Agent's phone number to call when viewing the Full Details page on a mobile device. |
Viewed 10+ Times | Displays a list of all the properties the lead has viewed the Full Details page for more than ten times. |
Emailed the Listing | Indicates that the lead used the Email this listing feature on the listing Full Details page to send the URL to someone they know. |
Requested Showing | Shows that the lead used the Schedule Showing feature on the Full Details listing page to request a showing of the property, and possibly to ask for additional information as well. |
Printed Flyer | Indicates that the lead used the Print this listing function on the listing Full Details page. |
Calculated a Loan | Shows that the lead used the Mortgage Payment Calculator on the right side of a listing Full Details page. |
Site Visits
Beneath the Key Actions area, the date and time of each unique website visit is listed-- beginning with the most recent-- along with the number of properties viewed on that visit in parentheses.
To open up a list of those properties viewed on that visit, simply click on that row in the navigation bar, and the results will populate to the right.
The small phone icon next to a visit indicates the lead visited the website from their mobile device, rather than a desktop computer.
Searches Tab
Please Note: Depending on your access level you may not be able to view all of the below info.
The Searches tab displays all search activity that the lead has performed on the website.
There are three different sections of search information accompanied by a view link that will take you to the site to see the search or property details:
Visitor Saved Searches | Displays any e-Alerts the lead has in their profile, whether they were system, Agent or Visitor (lead) created. |
Property Valuation History | If your Team has opted into our Seller Lead Suite, any Property Valuation searches the lead has conducted display here. |
Visitor Search History | Displays the criteria selected for any searches a lead has conducted on the site. |
Under the Visitor Search History section, there is a Create e-Alert link option.
Upon clicking, the system will open the e-Alert set up page, and have criteria automatically selected based on your lead's search.
You'll have the ability to tweak the criteria selected, as well as add additional criteria to complete creating an e-Alert for your lead!
Lead Verification
In order to save you time and help prioritize lead follow-up, for all leads that register on your website moving forward there will be an automatic verification that occurs in the background upon registration-- to see if the lead's name and phone number match a third-party database, and are therefore verified as having real contact information!
Verified Leads
If the third-party has identified a match between the given phone number and lead name, a "verified" check mark displays by their name in their lead profile (and within the BoomTown NOW app)-- and this indicates that we've found the name and phone number combination to be accurate, and it matches against a known record with a cell phone carrier.
While this will depend upon the contact and the data our third-party provider has available, the logic used to verify a lead weighs a few factors, and is looking primarily at the name and phone number combination entered by the lead, against the data available to our third-party in association with the name and phone number. There are tolerances in place for spelling, first/middle/last name use, etc. when verifying a match.
This verification will occur for all new leads that register directly through the website, but it will not apply to leads retroactively that are already within your database. Additionally, leads that come in through other channels-- such as bulk imported leads, manually added leads, Auto-Imported leads, or leads that come in through an integration-- will not have a verification performed on them by the system.
As the verification process is something that occurs automatically, there's no way to select to have a verification run for a specific lead, and there's no way to edit the verification for a lead that's been completed. Even if a phone number or name of a lead is altered, the verification check mark will remain in their profile from their initial verification!
In addition to the checkmark in the header of the lead's profile, there will also be an entry associated with the validation included in the History section for the lead (and the Lead Record in the BoomTown NOW app). If there is additional address or demographic information available about a lead from the verification look-up with our third-party provider, this will be included in the History section entry.
Unverified & Invalid Leads
Should a lead not receive a verification upon registration on the site, there will still be information about the verification attempt included in the History section of the lead's profile (and the Lead Record in the BoomTown NOW app). Depending upon the name and phone number submitted, and the data available about it from our third-party provider, the entry in the profile can vary.
Sometimes the phone number is valid but is not associated with the correct name. In those instances, our third-party provider may have details about the correct person associated with the phone number and will include them for reference, if available.
If the phone number entered is not valid, the entry in the lead's History section will also reflect these details.
Though a specific lead may not have verified contact information, we still recommend qualification attempts on all leads. This verification helps identify the proper channel for outreach (depending upon whether it's a mobile, landline or VOIP provider), but also saves time if a number is invalid or cannot be texted.
Phone Number Type Identification
In addition to verification of contact information, our third-party provider is also able to determine what type of phone a given number is associated with -- and that feedback is automatically added to the lead's profile header, as well as their Edit Profile tab.
A number will be identified (if available) as Mobile (M), Landline (L), or VoIP (V), and a symbol will display next to the phone number in the profile header.
Additionally, in the Edit Profile tab of a lead's profile, you can choose from the options, and make edits to the information, if needed.
This information can help you determine the best channel for outreach for a client -- if they have a mobile phone, they'll likely have texting capabilities, whereas a landline will not.
The phone number type will also be used in Smart-Drip Plans by the system automatically, ensuring that texts aren't attempted to landlines, etc., and skipping those steps accordingly!
Searching Leads by Verification Status
If you have access to the Advanced Lead Filters within Lead Central (available for Core, Grow & Advance clients), you'll also be able to sort by leads based on their verification status.
Recent Property Valuations
When you open a lead profile, as long as your team has opted into the Seller Lead Suite, you can see if that lead has conducted any property valuations right from the main Summary tab.
If the lead has conducted a property valuation on your site, a box will appear on the right-hand side of the lead profile, labeled Recent Property Valuations.
At a glance, you can see their most recent property valuations, the address they requested a valuation report for, and the date of that valuation.
Clicking on the address will take you to the results page of the lead’s property valuation. Keep in mind that this data is exactly what they saw on the date that they conducted their valuation, and that results may fluctuate over time.
Click View All Property Valuations on the lead profile for a list of all home valuations that your lead has conducted on your site. This will take you to the Properties tab of the profile.
From this screen, clicking View Report will show you the valuation that the lead received (example shown above).
You can also create an e-Alert for the lead based on the property attributes that they entered when they conducted their valuation, by clicking Create e-Alert.
Communication Transparency
Agent Communication
Agent and Broker/Admin communication with the lead will be automatically visible to both assigned Agents, Broker/Admin users, and the assigned Lender. This includes:
Logged Calls
Individual Emails
Smart-Drip Emails
Texts
Notes
Notes & Calls
You will also be provided with options for notifying the other assigned Agent, and assigned Lender when adding a Note or logging a Call for your lead.
If a lead is not assigned to a second Agent or a Lender, these options will not display in the Log Call or Add Note pop-up.
Emails
Similarly, when you're sending a lead an email, you'll have options for copying the other assigned Agent and assigned Lender, using the CC {User} links to the right of the lead's email address.
Selecting these choices will send each of the users a copy of the email.
Lender Communication
Notes & Calls
When a Lender adds a Note or Logs a call for a lead, they will have the following checkbox options:
Notify Buyer Agent - selecting this box will send an email notification of the Note or Call to the Buyer Agent.
Notify Listing Agent - selecting this box will send an email notification of the Note or Call to the Listing Agent.
Share with Agents - this will have the content of the Note or Call display on the Agent side of the lead profile.
If a Lender does not utilize the Share with Agents option, the assigned Agent(s) will not see the content of the Note and Calls on their side of the lead's profile. Only the entry for the Note or Call will display.
Emails
When a Lender sends an email to a lead, they'll see options to CC the assigned Buyer and/or Listing Agent.
Utilizing these CC options will allow the content of the Lender's email to display on the Agent side of the lead's profile in the History. It will also mean the Agent receives a copy of the email the Lender has sent to the lead.
If a Lender does not utilize the CC Agent options, the assigned Agent(s) will not see the content of the emails on their side of the lead's profile. Only the email action will display in the profile, without the email body (as below).
Distribution & Recent Website Visits
Within the Summary tab of the lead profile, there are some tools available along the right-hand side to help get an idea of your lead's property interests, including a Distribution pie chart, and a list of the most recent times the lead has viewed listing Full Details pages on the website.
Distribution
The Distribution box provides you with a quick breakdown of the properties your lead has viewed, through pie charts that help you get a sense of what criteria the lead is most interested in.
Use the links above the chart to generate graphs based on price, property type, number of bedrooms and baths, and location options.
If the lead has Favorites chosen, select the Show ## Favorites link to graph only the properties that the lead has marked as a Favorite-- in order to filter out outlier characteristics and just view those that are most important to the lead.
Recent Website Visits
The Recent Website Visits box provides quick links to an overview of a single website visit by the lead.
Clicking on the date and time of a recent visit, or the View All Website Visits link at the bottom, will take you to the Properties tab of the lead profile, to view the visit details in more specificity.
Recent Website Visits will only be counted when a lead views a listing Full Details page -- a log in on the website alone, with no property Full Details views, will not be accounted for here.
Multi-Agent Lead Assignment
Multi-Agent Lead Assignment gives you the power to assign both a Buyer Agent and Listing Agent to a single lead, providing Agents that work on separate sides of the Transaction with full access to the lead's profile.
This allows Agents to more effectively work those leads wanting to sell their existing home and also buy a new home-- leading to a more well-rounded experience for the lead.
Here's a quick overview of what Agents will be able to do with Multi-Agent Assignment:
Assign a given lead to a Listing Agent and Buyer Agent simultaneously
Have communication transparency between the Buying and Selling sides
Add both Buyer and Listing Agent Smart-Drips to a lead

Assignment & Transfers
A lead registering through your BoomTown site will always come into the CRM as either a Buyer or Seller lead.
Once you determine that your lead needs to sell their current house and find a new one to buy, you can assign the lead to a second Agent, now making them a Buyer/Seller lead.
Assignment
Both the assigned Agent of a lead, as well as Broker/Admin users can assign a second Agent to a lead.
To do so, you would click on the Assign to Buyer Agent or Assign to Listing Agent link within the blue box of the lead's profile header.
A pop-up modal will display where the Agent can be selected from the drop-down, and an optional note to that Agent can be added before choosing the Assign button.
Changes to the Listing Agent and Buyer Agent status for a given lead will have a direct impact on their Lead Type.
For example, if a lead is listed as a Buyer type, with a Buyer Agent assigned, and a Listing Agent is then added to their profile, they will then automatically be updated to a Buyer/Seller Lead Type.
Transferring Leads
Agents can only transfer the side of the lead they own (Buyer or Listing side) to another Agent. Broker/Admins can transfer either side or both sides of a lead to another Agent.
In the case where an Agent owns both the Buyer and Listing sides of a Buyer/Seller lead, that Agent will have the ability to transfer either or both sides of that lead to another Agent.
Clicking the Remove link next to an Agent's name will remove that side from the lead, making the lead either a Buyer OR Seller lead only
To transfer a lead, you will need to click on the Transfer link next to the Agent's name in the blue box section of the lead's profile header.
This will pop up the Transfer {Lead Name} modal, where the Agent to receive the lead can be selected, and an optional note can be added before proceeding to click the Transfer button.
Buyer and Listing Agent Owned Smart-Drips
Both the Buyer Agent and Listing Agent can add their own Smart-Drip Plan to a lead, to ensure the Drip emails being sent are relevant to the side of the lead they're working.
Plans added by the Buyer Agent and plans added by the Listing Agent will function independently from each other. Take proper measures to ensure your lead is not inundated with Smart-Drip emails from the Agent side.
Who Are Drip Emails Sent From?
To determine who Drip emails are sent from, the system will look at which Agent added the Drip Plan for the lead.
For example, if Listing Agent Jane adds a Smart-Drip Plan to lead Ron, the Smart-Drip emails sent to Ron will appear as coming from Jane. If Buyer Agent Mim is also assigned to lead Ron and she decides to add a Smart-Drip Plan for him as well, the Smart-Drip emails sent from that plan will show as coming from Mim.
In the event that a Broker/Admin user adds a plan to lead not assigned to them, the system will look at the Target Plan Type to determine whether the Smart-Drip emails should be sent from the Buyer Agent or Listing Agent.
Event Triggers
The Event Triggers for a Smart-Drip Plan added to the lead by the Buyer Agent will work independently from those tied to a plan added by the Listing Agent.
This helps ensure that communication between the lead and Buyer Agent doesn't affect the plan running on the Listing Agent side, and visa versa.
Buyer and Listing Agent e-Alerts
With two Agents assigned to a single lead, the Buyer Agent and Listing Agent can create separate e-Alerts for the lead.
This allows each Agent to have e-Alerts sent to the lead on their behalf, with information relevant to the side they're working on.
When creating an e-Alert for a lead, the option to select who the e-Alert should be Sent By will be found at the very bottom of the e-Alert setup page.
Multi-Agent Lead Assignment FAQs
How will the category of a lead work with two Agents assigned?
Both the Buyer Agent and Listing Agent sides will have their own category set for the lead.
In addition, each side will be able to see what category the lead is in for the opposite side by looking at the contact information in the lead profile header. The B category aligns with that for the Buyer Agent, and the S category aligns with the one selected by the Listing Agent.
How will this impact the Top Opportunities under my NOW Panel?
Both the Buyer Agent and Seller Agent will have their own individual opportunities for their leads. This allows each Agent to act on their own opportunity, without having it count towards the activity of the other Agent.
How will e-Alerts be affected if an Agent is removed from a lead?
e-Alerts will continue to be sent to a lead even if the Buyer or Listing Agent that created the e-Alert gets removed. All that will change is who the e-Alert is sent from. For instance, if a Buyer Agent and a Listing Agent each have an e-Alert setup for a given lead, and the Listing Agent is removed from the lead, both e-Alerts will continue to send, but both will now come from the Buyer Agent.
Birthdays & Closing Date Anniversaries
Enter the Closing Date Anniversary & Birthday for your leads' profiles to help stay connected with past clients and continue growing your referral base for future opportunities!
To add a lead's Closing Date or Birthday, simply click the link to the right of the Close Date, or Birthday line within the blue registration box, in the top right-hand corner of your lead's profile.
Within the pop-up modal, select the month, day & year that your lead closed on their home, or the month & day (the year is optional) that they were born.
Should you ever need to modify or remove the Close Date or Birthday you've entered, click the Edit or Remove links to the right of the given field!
Leads will not see Closing Date or Birthday information on their end-- this will only be visible and accessible to users accessing their lead profile page in the CRM.
Once you add a Close Date or a Birthday for a given lead, there are a few places where you will be reminded of those dates, and can take action on your leads accordingly!
Daily Insights
On days you have a lead or leads with a Birthday or Closing Anniversary, you'll see a Today's Birthdays and/or a Today's Anniversaries section(s) appear in your Daily Insights email.
You can use these lists to wish a specific lead a great day or congratulate them on their home ownership anniversary -- or you can click a link at the bottom of each section to view a list of all leads celebrating that day-- to send a message using the Targeted Emailing tool in Lead Central.
Smart Segment & Filter
Use the Anniversaries: Next 7 days Smart-Segment in the left-hand filters panel of Lead Central to reach out to leads with a Closing Anniversary coming up in the next week.
To search for leads based on their upcoming Birthdays, select the Birthdays: Next 7 Days Smart-Segment.
Remember that both these Smart-Segments will be a "rolling" search of any lead with a Closing Anniversary or Birthday falling within the next 7 days (depending upon which you're selecting).
Due to this, leads that you've already reached out to at the beginning of the week may still appear in this list later that same week, depending upon when their Closing Anniversary or Birthday falls.
When sending Targeted Bulk Emails to leads using the either the Birthday or Closing Anniversary Smart-Segment, be sure to utilize the Communication filters under your Advanced Lead Filters options to exclude those leads with Birthdays or Anniversaries you've already acknowledged that week. You would want to select; Have Not Been from the first drop-down; the Emailed check box; and then Just Me from the last drop-down.
You can also pull a list of leads with a Closing Date or Birthday falling under a specific date range by using the Birthday or Close Date filters in your Advanced Lead Filters modal of Lead Central!
Tracking Emails
The BoomTown system uses tracking email addresses in the database to capture emails going to your leads, and replies from your leads so that the system can ensure the emails are routed to the correct lead profile, and alert the correct user that's associated with the lead!
Each lead has a unique tracking email address created automatically, and each Agent or Lender is also assigned a unique tracking email address in association with every one of their leads. The tracking email addresses follow a similar format for each user and will look similar to the image below.
The tracking email address is created when a user profile or lead profile is created, and for users specifically, the prefix will be the Alias associated with their account, which is the original Agent subdomain that was entered for the user.
The tracking email addresses are masked with the login email address on a user's account, so in most cases, you and the lead see only the login email address in correspondence.
For example, if you have a lead named Joe Smith and Joe's email address is joe@gmail.com, BoomTown assigns a tracking email address like 295908420_joe@gmail.com. When you email Joe through the system, you are actually sending an email to 295908420_joe@gmail.com which gets routed to joe@gmail.com. The email you send Joe through BoomTown will be logged in Joe Smith's History in his lead profile.
If you were to send an email to Joe@gmail.com directly through another email client, like Gmail or Outlook, you will notice that the email will not be captured by the BoomTown system and logged in your lead's History.
If you hit reply to an email that your lead sent you through BoomTown from within your email client, your email response should be logged in the lead's Summary when you are replying to 295908420_joe@gmail.com rather than joe@gmail.com.
That said, it's best not to get into the habit of emailing your leads from an email client or webmail, since you may not be able to easily tell if you are emailing the tracking link address or the regular address, especially if your lead is saved as a contact and you only see that you are emailing "Joe Smith".
