Quick Guide

Lead List

To view a list of all your currently assigned leads within your BoomTown NOW App, as well as sort and filter those leads to view them based on different parameters, this can be done within the Lead List, found by navigating to the Leads tab at the bottom of the app.

Within this page, you'll be able to view all your currently assigned leads.

If you'd like to sort the list, so that the leads display in a specific order, navigate to the three blue lines in the top right-hand corner of the lead list, and select them.

On the page that displays, in the Sort By section at the top, you can choose to sort the leads alphabetically by First Name, alphabetically by Last Name, in order of their Registration Date, or in order of their Assignment Date.


If you'd also like to filter the leads, within the Type section you'll be able to select to view leads with all Lead Types, or just specific ones.

If all the toggles are white for the selections, it means all Lead Types will display in the Lead List.

Additionally, you can filter your Lead List by lead category through the Category area of the page.

You can select to view all categories by highlighting each rectangle, or by leaving them all deselected -- or you can just choose to view specific categories by selecting just those that you'd like to view.

Once you've made all your selections, choose the Done button at the top of the page, and your updated Lead List should display with the applicable leads, and selected filters (along the top), accordingly!

If you filter your leads by types or categories that aren't applicable to your leads, none will show in the Lead List, and you'll want to edit the parameters selected to view the correct leads!

The Lead List selections are sticky, so if you move to another page in your BoomTown NOW App, or if you force quit out of the app, the selections will remain when you return to the page. In order to reset the selections to the default, you can log out of the app, and then log back in -- and this will remove any existing filters to return to the default!

The default settings for the Lead List are to sort by lead Registration Date, and display all leads in the New category.

Insights

The Insights tab is all about being proactive with your leads while on the go. It displays insights about your most active leads that are likely to start a conversation or re-engage to have a conversation, allowing you to identify opportunities to engage with leads!

Opportunity Types

Leads that meet one of the following parameters will display in the Insights tab in chronological order:

  • High Interest - the lead has shown interest in and taken action on one or more properties on your website

  • High Interest in Agency Listing - the lead has shown interest in one of your Agency's listings and taken action on it

  • Renewed Interest - the lead has been inactive on the website (for over 60 days) and then returns to the site again

  • Back on Site, No Conversations - the lead is back on the website but they have not yet had any conversations with you

  • Profile Updated - the lead has updated information in their profile, such as their contact information

  • e-Alert Updated - the lead has updated their e-Alert preferences

Using the information in this tab, you can reach out to the leads easily via text, email or phone, in order to help re-engage them and start a conversation!

Waiting On You

The Waiting On You tab is all about being responsive with your leads while on the go. It displays a list of leads that are awaiting communication and gives you the chance to engage or re-engage leads as quickly as possible!

Critical 1st Hour

In the Critical 1st Hour section, there are cards showing lead actions that demand quick responses. To help stay on track with fast follow-up, there is a countdown to expiration (1 hour) in this section.

The card types that appear in the Critical 1st Hour are as follows:

  • New leads assigned, transferred, or Auto-Imported to you

  • Leads where you are assigned as the co-agent (Buyer or Listing Agent)

  • Leads that complete a form on the website (Buy, Sell, Contact, Home Valuation, Property Interest, Showing Request)

  • "First Chance" leads that you tried to contact in the past but this is the first time they're trying to contact you (via call, email, or text)

  • "Re-Engaged" leads that you've made contact with previously, and the lead is proactively reaching back out again now (via call, email, or text)

When you see a new card populate in your Critical 1st Hour section, you should respond to the lead as soon as possible, using the prescribed method shown on the lead card.

Waiting On You

After the first hour, the card is moved to Waiting On You. Among these are also the following card types:

  • Lead emailed you directly

  • Lead responded to an Agent or system email

  • Lead texted you at your BoomTown number

This section should be used to quickly follow-up with all the leads listed, so that you're ensuring you're maintaining quick response time with all lead conversations!

Recent Conversations

This section will show a list of the active communication history you have with your leads, all in one convenient location. You can scroll down the page to continue loading more conversations that you've had directly with your leads!

Due Today

The Due Today tab is all about being productive with your leads while on the go. It displays a list of upcoming To-Dos, ensuring that no follow-up falls through the cracks!

Past Due

This tab shows unfinished To-Dos from the past 7 days-- providing a chance to catch up!

Today

This tab shows To-Dos that are scheduled to be completed today. This will also show a list of all the To-Dos that have been completed today.

Upcoming

This tab shows To-Dos scheduled for the next 7 days-- providing a chance to get ahead of the game!

Snoozing To-Dos

If you'd like to snooze a To-Do to come back to it later, you can click on the menu with the three blue dots on the specific To-Do card. You'll have the choice of time frame that you'd like to snooze the To-Do for:

Once you choose to snooze a To-Do, it will disappear for the requested time period, and then re-appear after the time has elapsed, notifying you again of the To-Do.

Start an Offer

When a lead accesses your website and chooses the option to Start an Offer through a listing Full Details page, you'll be alerted about this within your BoomTown NOW App!

If you have push notifications enabled (if not, here are the instructions to set up for iPhone & Android), you'll first receive a notification about the offer there!

Waiting On You Tab

Within the BoomTown NOW App, the lead's Start an Offer notification will show up under the Waiting on You tab.

On the Waiting on You card, the lead's assigned Agent will see:

  1. "Lead Name submitted an offer!"

  2. Lead name

  3. Address on which the lead submitted the offer

  4. Offer Amount

  5. Whether the lead needs help with financing ("I do" or "I don't") or if the lead is buying with cash.

Lead Profile

Clicking the Waiting on You card will then take the you to the lead's profile, where the Start an Offer email will display.

On this, you may see one of three variations for financing:

  1. "I need help with financing"

  2. "I don't need help with financing"

  3. "I'm buying with cash"

Additionally, you may see one of three variations of a showing request:

  1. "I have seen this home in person"

  2. "I have not seen this home in person"

  3. "I would like to see this home in person".

Adding a Lead

Using the blue plus sign button in the corner of the page, you'll be able to add a lead from anywhere!

Simply select the blue plus-sign button, and you'll be taken to a page to enter your lead's information and create their profile. The button will display on most pages within the application, so you can always add leads with ease!

Lead Record

The lead record will allow you to take action on your lead and have it log in their history, as well as make updates to the lead's information and view current data.

Conversations Tab

Within the Conversations tab, this will show the history of the correspondence with the lead, including any notes in their profile, logged calls, forms they've completed on the website, as well as any email or text message communication.

Once on the Conversations tab, you can select the orange phone button to call the lead directly through your native phone number. Once you've done so, you will need to log the call before moving forward.

Additionally, you can select the blue + button to be given options to perform more actions, like adding a note or to-do, sending an email, creating an e-Alert, or sending a text message through your BoomTown number.

Profile Tab

Within the Profile tab you will be able to see the following:

  • Lead name, category and lead type

  • Lead responses to Qualification questions & fields to input this information on your end

  • Upcoming To-Dos

  • Lead description and tags (edits can be made as well to these fields)

  • Current e-Alert information (and the option to create new e-Alerts)

  • Smart-Drip Plan information (current and historic -- as well as the choice to add a new Smart-Drip Plan)

  • Contact details (i.e. phone number, email address, registration date, source, assigned Agent(s) and Lender)

  • Lead verification information

  • Social profiles

  • Phone icon to make a call to the lead

  • Blue "+" button to take further action on the lead

Additionally, some leads will have:

  • Property Interests

  • Insights

Profile Updates

You can make many updates to a lead's information from within the Profile tab of their record. Directly on the Profile tab you can make the following changes:

1. Lead description
2. Lead tags

To make further edits, click the button with three blue dots in the top, right-hand corner of the page. Here you will be able to change the lead's Category, and Lead Type, as well as assign a Listing Agent, and transfer the lead. Along with this, you can select the "Edit Profile" choice from the drop-down menu.

When editing the profile, you'll have the option of updating the lead's first name, last name, phone number, email address and street address. You'll also be able to add additional phone numbers and email addresses to the profile for the lead.

Create and Edit e-Alerts

In order to create and edit your leads' e-Alerts, first find the lead you'd like to focus on, and select their name to go to their Lead Record.

Once there, within the Profile tab, scroll down to the e-Alerts section.

If you'd like to edit the existing e-Alert, simply click on it -- if you'd instead like to create a new e-Alert, select the option below for Create new e-Alert. You'll then be prompted to select which type of e-Alert, System, or Blank.

System e-Alerts will set up based on the lead's previous searches, while Blank e-Alerts will be a clean slate for you to enter the lead's preferences.

Once you've made your selection, you'll be taken to the e-Alert where you can update the existing criteria, or add criteria.

Further down the page, you can also update the frequency and type of e-Alert, as well as the people receiving the emails.

Once you're done, be sure to select the Save e-Alert button, and the changes should update accordingly!
