Calendar Auto-Add for Participants (.ics)

When an appointment is created or updated, Boostlingo sends email notifications that include an .ics calendar attachment. LSC Administrators can control, for their whole organization, whether that attachment adds the event to a participant’s calendar automatically or gives them a link to add it themselves.

Note: This setting applies to appointment participants — requestors and interpreters. Admin and monitor roles are not affected and always receive a passive calendar link they add manually.

How it works

  • Participants (requestors and interpreters): the .ics attachment can be formatted so the recipient’s email client adds the event to their calendar automatically, with no action required.

  • Admins and monitors: always receive a passive .ics attachment they add to their calendar manually.

Configure the setting

1. Navigate to Configuration>Company>Appointments and locate Calendar Auto-Add for Participants

2. Select edit by clicking the pencil icon next to it.

o On (default) — Requestors and interpreters receive a calendar event that adds the appointment to their calendar automatically.

o Off — Requestors and interpreters receive an informational calendar attachment instead. The event is not added automatically; the recipient chooses when and whether to add it.

3. Select Save.

Calendar compatibility

The calendar attachment works with:

  • Google Calendar

  • Outlook Calendar

  • Apple Calendar

  • All web calendars that support the iCal file type

For LSC admins: if participants report that appointments aren’t reaching their calendars as expected, reach out to Boostlingo Support. Please include the affected participant’s role, their email/calendar app, and a screenshot of this setting. If you’re unsure how to reach Support, contact your Account Manager.
