Expenses: Fuel/Mileage and Travel Time Rates

Written by Quinn Bott

LSC Administrators can configure Fuel/Mileage and Travel Time rates to automatically add an account charge and/or interpreter payment to scheduled onsite appointments that meet a minimum travel requirement. This article covers how distance is calculated and how to configure both rates.

Other expense types can’t be added automatically, but you can add them to an appointment manually: Parking/Tolls, Public Transportation, Taxi/Uber/Black Car, Internet/Phone, Meals/Food, Hotel/Accommodations, Airfare, and Other.

How distance is calculated

The distance shown in the interpreter list before an assignment is a straight-line (“as the crow flies”) estimate. Once an interpreter is assigned, Boostlingo calculates the driving distance from the interpreter’s profile address to the appointment location using Google Maps, and that driving distance drives any automatic mileage expense.

Because the two use different methods, the pre-assignment estimate and the post-assignment mileage will differ — this is expected.

  • Note: Boostlingo uses the route Google Maps recommends by default (generally the fastest driving route). It doesn’t avoid tolls or highways, account for live traffic, or pick the shortest-mileage alternative.

  • Important Note: The interpreter’s profile address is the origin for all mileage calculations. If it’s missing or can’t be geocoded, no automatic mileage expense is generated. If mileage expenses aren’t appearing, verify the interpreter has a valid, geocodable address on their profile.

Configure Fuel/Mileage and Travel Time rates

Navigate to Configuration>Billing>Expenses.

Fuel/Mileage rates

Select Edit next to Fuel/Mileage. In the pop-up:

  • Rate per Mile — a universal rate for every mile the interpreter travels (customizable at the appointment level).

  • Based on Rate — base the mileage cost on the account’s or interpreter’s appointment rate, using an “X miles = Y hours of the appointment rate” ratio. Travel duration from this setting reflects the calculated ratio, not estimated drive time.

Additional options:

  • Min Miles — the minimum miles required for any mileage expense. Below this threshold, no expense is created — it’s a qualification threshold, not a starting point.

  • Max Miles — the maximum miles the rate accrues for; distance beyond this cap isn’t charged.

  • Automatically add to appointments for Interpreters / for Accounts.

  • Round-trip — the expense covers travel to and from the appointment (2× the one-way distance). When enabled, Min Miles and Max Miles are compared against the doubled distance

Select Save Distance Rule when you’re done.

Travel Time rates

Select Edit next to Travel Time:

  • Based on Interpreter/Account Rate — every minute/hour of travel accrues the same rate as the appointment.

  • New Rate — a custom rate applied universally for interpreters and accounts (customizable at the appointment level).

Additional options:

  • Min Time — the minimum travel time required for the rate to apply.

  • Max Time — the maximum travel time the rate accrues for.

  • Automatically add to Account expenses.

Select Save Travel Time Rule when you’re done.

Next steps / Getting more help

  • For LSC admins: if a mileage or travel-time expense isn’t being added, confirm the interpreter has a valid profile address and the appointment meets the Min thresholds, then reach out to Boostlingo Support with the appointment ID. If you’re unsure how to reach Support, contact your Account Manager.
