How Worker Setup Works
Templates are reusable staffing plans. A template lists the shifts an event needs, where each shift is located, the instructions workers see, what each shift pays, and the permission a worker needs to sign up.
Signups are what a template becomes once you apply it to a real event. After a template is applied, the signup on that event is independent of the template. Later template edits apply only to events you apply the template to afterward.
You can also build a signup directly on an event without a template. Every shift is then typed in by hand for that one event.
Note: Signups belong to the school year of their events and don't carry over. Each new school year, add signups to that year's events, and workers sign up for those shifts again. Your templates stay on the Templates tab to reuse. This is separate from Roll Forward, which carries your list of workers into the new year.
1. Build Signup Templates
Look at how your events actually run. A varsity football game staffs differently than a JV or junior high game, and a volleyball tournament differs from a regular match. Build each template around the most complex version of an event, then duplicate it and remove what simpler events don't need. To build one, follow Create a Worker Signup Template.
2. Add Workers to Your School
Workers must be on your Workers list before they can be assigned to a shift or sign up for one. You can add them one at a time, import a list, invite them by email, or share your school's signup link. Add Workers to Your School covers each method.
Every worker already has Public permission, so any worker can sign up for Public shifts. Give Private or Employee permission to workers who staff restricted shifts.
Note: This part can happen before or after you add signups to events. At the start of each school year, use Roll Forward to carry your workers into the new year.
3. Add Signups to Events
Which method to use depends on when you're creating the signup:
Before the season: Apply a template to many events at once, such as every home football game. This is the most efficient method.
During the season: Add a signup to a single event, from a template or from scratch.
Both methods are in Add Worker Signups to Events.
NOTE: When you apply a template, you set each shift's start and end in minutes relative to the event's start time. Don't skip this step. Events don't all start at the same time, and shift hours drive hourly pay.

Fill Shifts
Once a signup is on an event, shifts fill in two ways:
Workers sign themselves up: Workers can claim shifts when the signup has Open Signup turned on and they have the shift's permission. See Sign up for a Shift as a Worker.
You assign workers: Add a worker to a shift yourself. See Manually Assign a Worker to a Shift.

4. Manage Workers Before and After the Event
Before and after each event, confirm who is scheduled, mark shifts complete, and check compensation. See Manage Workers Within an Event.
Bound sends scheduled workers a shift reminder automatically two days before the event.
To send your own message to an event's workers:
Go to Events -> Workers -> Event Setup.
Click the green button next to the event's signup, then click the Posts tab.
Click Compose Post and write your message.
Under Recipients, check Workers to reach every worker on the event, or expand it and check individual workers.
When an event is rescheduled or postponed, workers are notified through a post as well.
NOTE: Creating a worker financial report automatically marks the shifts it covers as completed and locks that worker data, which prevents duplicate payments. The report can't be run again. Finish every shift and compensation adjustment before you create the report, not after.
