Create a Worker Signup Template

Learn how signup templates work, how to create a template, and how to open a template for worker signups.

A signup template is a reusable staffing plan for a type of event. It lists each shift, where it's located, what workers need to know, what it pays, and who is allowed to sign up for it. Once a template exists, you can apply it to many events at once instead of building each event's signup by hand.

Note: When you apply a template to an event, the signup on that event is no longer connected to the template. Template edits apply only to events you apply the template to afterward.


Plan Your Templates

Build each template around the most complex version of an event, such as a varsity football game rather than a JV game. Removing shifts from a copy is easier than adding them later. Once the first template is saved, use Duplicate Template to build the next one.


Create a Template

  1. Go to Events -> Workers -> Event Setup, then click the Templates tab.

  2. Click Template Options -> Create New Template.

  3. Enter the Template Name, School Year, and Template Description.

  4. Click Shifts, then click + Add Shift.

  5. Fill in the shift:

    • Shift Name: The role, such as Gate Supervisor.

    • Type: Other, Concessions, Ticketing / Gate, Event Supervisor, PA Announcer, Score Table, Chain Gang (Football), or Line Judge (Volleyball).

    • Location: Where the worker reports.

    • Instructions: What the worker needs to know. Instructions appear on the signup page and in the reminder workers receive.

    • Minimum Workers Needed and Maximum Workers Needed: How many workers the shift needs.

    • Position: The order the shift is listed on the signup page. 0 is listed first.

    • Permissions: Who can sign up for the shift. See Shift Permissions below.

    • Compensation Type and Compensation Amount: Uncompensated, Hourly, or Flat Rate, and the amount. You can adjust these on the event later.

  6. To add another shift, click + Add Shift and repeat step 5.

  7. After the last shift, click Save Template.

NOTE: Clicking + Add Shift after your last shift adds an empty shift, and the template saves with that blank shift in it. Click Delete Shift on any empty shift before you click Save Template.

Shift Permissions

A shift's permission sets who can see and claim it. Workers without the matching permission don't see the shift.

  • Public: Every worker has Public permission, so any worker connected to your school can sign up.

  • Private: Only workers you've given Private permission can sign up.

  • Employee: Only workers you've given Employee permission can sign up.

Permissions stack. A worker with Private permission can sign up for Private and Public shifts. A worker with Employee permission can sign up for Employee, Private, and Public shifts. You give a worker Private or Employee permission on their profile under Worker Roles. See Add workers to your school.

Use permissions to keep sensitive roles, such as gate supervisor or PA announcer, restricted while leaving roles such as ticket taker open to anyone.


Open the Template for Worker Signups

If workers will sign themselves up, turn on Open Signup. Without it, you can still assign workers to shifts, but workers can't claim them. The checkbox appears only after the template has been saved once.

  1. On the Templates tab, click the pencil icon next to the template.

  2. Check Open Signup (allows workers to freely sign up).

  3. Click Save.
