The Document Library is where your association publishes registration documents for member schools to use. You build a document once, and every school in your association can copy it into its own registration setup instead of recreating it.
The Document Library can be found in the Schools tab, under Documents.
How the Document Library Works
Any document published in the Document Library is available to your member schools. Schools can then select to use the document in the registration so they don't need to create it from scratch.
The library is tied to a school year. The year selector above the list controls which documents you see, and Show All Years lists them together.
Each row shows five columns:
Name: The document name schools see in their own library list.
Category: The document type. Standard documents show Request, Agreement, or Non Enforced Request. Forms built in Bound show Custom Form.
Library Category: Either School Can Edit or School Cannot Edit. This controls whether a school can change the document after copying it.
Active Dates: The open and close dates you set on the document.
Status: Either Available or In Use.
Available means no school has copied the document yet. You can still edit or delete it.
In Use means at least one school has copied it. A lock icon appears beside the name, the row's action changes to View (locked), and the document can no longer be edited or deleted.
NOTE: Locking is permanent for that document. If an In Use document needs different wording, dates, or settings, add a new document rather than changing the existing one.
Document Types
Add Document offers two types, and the choice determines how the document is built and how families complete it.
Standard Document: A setup around a PDF you upload or a file the family uploads. Standard documents carry validation rules, expiration and grace period settings, signature requirements, staff approval toggles, and page-level upload fields. Use this type for physicals, concussion forms, and any document your association distributes as a PDF.
Custom Form: A form built inside Bound from sections and fields, with no PDF involved. Families complete it on screen. Custom forms can start from a blank form or from one of Bound's prebuilt state and association templates.
Both types appear in the same library list and both are copied by schools the same way.
What Member Schools See
Schools reach your library from their own registration setup. In the school's manager, an administrator opens Registration -> Documents, clicks Manage Documents, and chooses Copy from Library.
The resulting Library Documents page lists everything available to that school, with a Source column showing where each document came from. Documents you publish show a source of Association.
Clicking a document opens a read-only preview. The preview shows the document's category, description, signature type, active dates, and whether it is required and needs approval, followed by the full document or form as a family would see it. From there the school clicks Copy to My Documents.
After a school copies a document, what it can change depends on the Library Category you set:
School Can Edit: The school can make adjustments to the copy, such as changing dates or toggling settings.
School Cannot Edit: The copy is locked in the school's registration.
Either way, the school's copy is its own record. Editing it does not change your library document, and your library document stops being editable once the first copy is made.
