Create a Worker Signup for a Single Event

Here is a step-by-step tutorial for creating a worker signup for a single event.

Worker Signups for a Single Event can be added by following three different paths.

Path #1: Create Signup from the Workers>Manage Events Page

The Manage Events Worker page is a bulk view/entry listing of events. From this page you can create signups and manage them. You can also generate reports to help in your management duties.


1. Begin by logging in, going to the "Events" page, and then clicking "Workers". Next click on "Manage Events" and then click the "+Add a Worker Setup".

2. Next you can create the signup from one of your templates by choosing it from the template drop down. Or, you may create a sign up from scratch by typing in the name and description.

The final step before creating the signup is to decide if you will allow Open Signup by all workers who have access to your school. Permissions will still be in place as determined by the template or the custom sign up you are creating.
"Check the Box" if you are allowing Open Signups for this opportunity.

3. Click "Save" to create the sign up on the chosen event.

NOTE: When a template is added to an event the signup is disconnected from the template. All information transfers but is no longer controlled by the template setup. Therefore any further changes to the template will only be applied to future events it is attached to. Changes to the template are not retroactive to previously applied events.

4. The Worker Sign up information will be displayed. To make adjustments to the shifts click the pencil in front of the shift you would like to adjust.

  • From this page you can create additional shifts as needed.

  • From this page you can manually assign workers.

  • From this page you can print worker vouchers to submit for payment.

5. After the template has been applied or the signup created the details will display on the Worker>Manage Events Page. From here you can see at a glance the minimum number of workers needed (black icon) and how many are signed up (icon will turn green).
Click on "Edit Details" or "Below" to open up the signup information window as seen in step 4 above to make adjustments or manage the sign up.

Path #2: Create Signup from the Events Page Action Keys Information is entered manually.

1. Navigate to the Events page and find the event you want to create a signup on.

Click the "Workers Action Key".

This path requires that you create the sign up from scratch by typing in the name and description.

The final step before creating the signup is to decide if you will allow Open Signup by all workers who have access to your school. "Check the Box" if you are allowing Open Signups for this opportunity.

Click "Save" to create the sign up on the chosen event.

2. Next, click the "+Add Shift" button to add the Shift information you desire.

3. Enter the "Shift Name" and additional information as needed. This is the same type of information you will enter when creating a template. This information will be displayed when sending automatic reminders to workers. This information will be used to create Financial Reports to track or pay workers.

Click "+Add Shift" at the bottom when the information is complete.


Repeat until all needed shifts have been added for this template, then click "Save Template" at the bottom.

4. After the manual entry has been completed the signup details will display on the Worker>Manage Events Page. From here you can see at a glance the minimum number of workers needed (black icon) and how many are signed up (icon will turn green).
Click on "Edit Details" or "Below" to open up the signup information window as seen in step 3 above to make adjustments or manage the sign up.

Path #3: Create Signup from the Workers>Event Signup Page

1. Navigate to the Events>Workers>Event Signup Page and Click "+Create New Signup" in the top right corner. In the drop down click "+Create Without a Template".

2. Enter the "Name", "Description" and "School Year". Choose the Event you are creating a Worker Signup for from the drop down list. This drop down list will include any remaining events for the current academic year.

Then click the "Shifts" tab below the "General Information" section.

3. Click the green "+Add Shift" Button

4. Next, in the "Shifts" section, enter all the shift information and options you'd like to be part of this signup.

To add a shift, enter the "Shift Name", choose the shift "Type", enter "Location", add any specific shift "Instructions", and enter "Minimum" and "Maximum" workers needed for that shift.

NOTE: The information added to the signup will be displayed on the Opportunities Sign Up page and will be included in automatic reminders sent to workers.

The "Position" field is used to signify in what order this shift is listed on the Opportunities Sign Up page. "0" being the first position and higher numbers will be listed further down the list.

Next add the "Category" for this Shift.

Choices for Category are Public, Private, Employee or you can create a Custom Tag.

  • The Category determines the permission a worker must have to sign up for this shift.

  • All workers are granted Public permission access.

  • Shifts that are marked "Public" are opportunities that any worker can sign up for.

  • Shifts that are marked "Private" or "Employee" must be granted those permissions by the Athletic Administrator under the Workers>Worker Roles from the Admin portal.

  • Permissions follow a hierarchy of access. A Worker with "Private" permissions can sign up for "Private" and "Public" shifts. A Worker with "Employee" permissions can sign up for "Employee", "Private", and "Public" shifts.

Complete the Shift Set Up by adding the "Compensation Type" and "Compensation Amount". These can be adjusted within Worker Set Up on an Event at a later date if needed.

Repeat these steps until all needed shifts have been added for this custom signup, then click "Save Template" at the bottom.
​PRO TIP: Click +Add Shift to add another Shift to complete for this custom signup. After completing the last shift for this signup do NOT click +Add Shift. Instead just click "Save".

5. After the signup has been created it will be displayed on both the Worker>Manage Events page and the Worker>Event Signup>Signup pages and from the Events Page under the Worker Action Key.
