Create and Manage Transportation/Freight Organizations

How to create, view, edit, remove, and manage transport/freight organizations, including sending for picking and loading.

This tutorial covers all steps related to creating, managing, and updating cargo in BRAINR. It includes associating sales shipments with transports and making the necessary logistical adjustments to meet shipping requirements.

Create

There are two ways to create a load: from a sales shipment or purchase return, and from Planned Loads, where you must manually define the Partner and the Document in question. Let's follow the most intuitive and agile process.

  1. On the Homepage, click on "Sales Shipments" or "Purchase Returns, " as needed, in the Shipping - Planning section.

  2. Select the shipments you want to allocate to a load and then click on the actions and "+ Create Load. "

    1. Shipments that already have a load associated with them cannot be selected. A shipment can only be associated with one load.

  3. Enter the necessary information:

    1. Partner: Supplier responsible for transportation.

    1. Planned Date and Time.

    1. Route.

    1. Expected quantity to be shipped.

  4. Click Save to associate the shipments with the new load or Cancel to discard.

  5. You will be redirected to the list where you will see the Shipment with the assigned Load.

Consult

  1. Access the modules according to the status of the load:

    1. Planned Loads in the Shipping - Planning section

    1. Loads for Picking in the Shipping - Picking section

    1. Open Loads in the Shipping - Loads section

  2. Locate the desired shipment and click on the 3 dots to select Details.

    1. View general information about the shipment, partners, and associated shipments.

    1. The shipments indicate the allocated shipments and shipping guides, allowing complete tracking of the shipping flow.

  3. To return to the list, click on the arrow in the upper left corner.

Edit

  1. Access the module corresponding to the load status.

  2. Locate the cargo, click on the 3 dots, and select Edit.

  3. Adjust:

    1. General Data: partner, route, date, type of transport, and shipment.

    1. Partners: Add or remove partners. Removing a partner deletes all associated shipments.

    1. Shipments: Expand to adjust documents or quantities.

  4. Click Save to apply the changes or Cancel to discard them.

Remove

You can only remove a shipment that no longer has associated partners.

  1. In the Planned Loads module, click on the 3 dots and select Remove.

  2. Confirm the action in the modal.

Send to Picking and Load

After creating the load, you must send it to Picking to validate the quantities indicated in the sales documents or return requests to suppliers.

  1. On the Homepage, click on Planned Loads, in the Shipping - Planning section .

  2. In the list of loads, click on the 3 dots and send to the desired status:

    1. Picking: The load will be available to start preparation. When sent to Picking, it will be moved from the Planned Loads List module to the Loads for Picking List module, where all loads ready for this process are located.

    1. Picking and Loading: The load will be available for simultaneous preparation and loading. When sent to this status, it will appear in both the Picking Load List module and the Open Load List module This option is ideal when the truck is already on site, as it allows for integrated picking and loading directly from the Planned Load List module

  3. A load in Picking can be sent to Pending, returning to the Planned Loads module

Reorder Partners

With the load in the "Planned," "Picking," or "Picking and Loading" statuses, it is possible to reorder partners. In the list or within the details, click Reorder Load. On this reordering page, you will find the main load data, including the list of partners. This list allows you to drag and drop to set the desired order. Once finished, click save.
