Preparing and Dispatching Transport/Cargo Organizations

How to carry out the complete process of preparing and dispatching loads, including picking, quality control, loading and finalizing

This tutorial details all the steps in BRAINR, from picking to dispatching and closing loads. It covers item preparation, tarpaulin sorting, quality control, loading onto the vehicle, validation and closing.

Important Note

  • Cargo preparation:

    • Carried out in the Pick List App.

    • Ensure that all associated consignments are correctly picked.

    • Use the multi-product pallet functionality, if necessary and configured.

  • Load dispatch:

    • Carried out in the Open Load List app.

    • You can only start a load when it is finished and has an associated check-in.

    • Includes quality control, item validation and loading onto the truck.

  • After the truck leaves, the load is closed automatically (if there is no CrossDocking).

  • For greater efficiency, send loads directly to Pick and Load via the Planned Load List app.

  • Depending on the organization's workflow, but when the load is initiated, it must be edited to assign the Seal No. or Container No.


Cargo Picking - Mobile

  1. On the homepage, click on Loads for Picking in the Shipping - Picking section.

  2. The app displays the loads available for Picking grouped by day. Select the load you want to prepare. If necessary, use the filters available in the top right-hand corner.

  3. In the load, expand the designated partner and select the shipment you want to prepare.

  4. Click on Picking to start preparing the shipment. At this point, a Picking document (BRAINR Sales Delivery Note) is automatically created, if it doesn't already exist. If it already exists, select the document in the window that appears.

  5. Inside the Delivery Note, use the scanner to pick all the items associated with the load. The system automatically prints labels for the configured zone.

    1. The error "The quantity indicated exceeds the quantity available on the source document line" indicates that you are trying to pick a quantity greater than that planned for the shipment.

    1. If configured, complete the Inline process immediately after picking

  6. Navigate to the List tab to view items in progress and complete. You can expand the items to review or remove picks if necessary.

  7. If applicable, you can make a multi-product pallet. Go to the Mix Product tab and create a new pallet. After defining the type, pick directly from this pallet.

    1. On this tab, click on the pencil to create the pallet.

    1. Select the type of pallet to add and save.

    1. You can start picking for the pallet, edit it, remove it or close it. To register products on this multi-product pallet, start picking and you will be redirected to the Scan screen.

    1. All the picked products will be registered on the pallet. To finish the process, you can close the pallet by clicking on the padlock icon or pause it.

    1. When you close the pallet, labels will be printed for the configured zone.

  8. Click on the Tariffs tab and classify the tariffs by type, validating by SSCC. If necessary, you can access the Classified Tariffs to edit or adjust the details.

  9. If the Cargo is in Picking and Loading mode, you can navigate directly to the Loading process by clicking on the 3 dots in the top right-hand corner

  10. After sorting the tarpaulins and filling in the quality controls (if configured), click on Close Document. If there are any unpicked items, a notification will be displayed.

  11. If the load is only being picked, finalize it on the web so that it is available in the Open Loads App.

Freight dispatch - Web

  1. To start shipping a load, click on Open Loads in the Shipping - Loads section on the homepage.

    1. You can only start a load that has been completed and has an associated check-in.

  2. Select the desired load and click Start Load in the context menu.

  3. In the confirmation window, the system will redirect you to a page that allows you to load the pallets manually (not recommended). The load will then be available for loading on Mobile.

Load dispatch - Mobile

  1. On the Homepage, click on Open Loads in the Shipping - Load section.

  2. Identify and select the designated load from the list to start the loading process.

  3. If the load is in Finished status and has an associated reception, click on the 3 dots in the top right corner and select"Start Load".

  4. If configured, fill in the quality control for starting the load. Without this step, it will not be possible to start the load.

  5. On the picking screen, start by picking the SSCC of the container and then scan the barcode of the dock. The system will validate that the dock is correct and that the SSCC corresponds to the shipment, especially important when there are multiple loads at the same time. If quality control is configured per pallet, you may have to fill in the quality control for that pallet.

  6. Once you have finished loading, you can End Load. To do this, simply go back. If there are no more items to load, a modal will appear where you can confirm the closing of the document. If configured, fill in the quality control for the load closing. Alternatively, on the previous screen, click on the three dots in the top right-hand corner and select "End Load".

  7. The load will then move to the Finished status in Open Loads.

Validating and Closing a Load

  1. The load is validated after weighing the vehicle, when the weight is in line with that of the load and the entry weighing. See Expedir uma Organização Transporte / Carga for shipping process.

    1. If there is an error in the weighing and a volume or CrossDocking has previously been identified in the load, the Shipping Manager can carry out manual validation after the outgoing weighing.

    1. Fill in the weight corresponding to the CrossDocking and add explanatory comments to facilitate future queries.

  2. After the valid weighing, we can close the Transport Organization.

  3. The Transport Organization process in shipping ends with the closing of the load (in some organizations, in order to be able to close the load, you will have to carry out a quality check, otherwise you will not be able to close the load).
