Calendar Syncing with Outlook

Once the URL has been generated you can add this by going to

File > Account Settings > Internet Calendars > New > Enter your .ics URL and then click add

⭐(If you've not yet set up the .ics link. The Admin will need to enable this. check out this guide first.)⭐

Here's how to do it

Step 1

Step 2

Step 3

Add the .ics URL that you generated earlier and click Add (please ensure there are no spaces at the beginning or end of the URL)

Step 4

Name your Calendar and then click ok.

You will now see this calendar show under "Other Calendars" when viewing your available calendars.

If you're using Office 365 the process is very similar and will look like this:

Step 1

Step 2

Add the .ics link, calendar name then click "Import".  This will then show under "Other calendars"

Please note that the calendar will update every 48hrs.  If for any reason you should run into issues it's advised to remove the calendar and re-add.

You also have the option to re-generate the link in Breathe should you need to.

How do my people generate their own .ics link?

If you're letting your people manage their own calendars they can simply generate the .ics links themselves.

Here is how you do it

Calendar > Click on the calendar icon > click 'generate'

Employees can then sync their calendars by heading to the calendar and clicking on the icon shown below:

Can't add an Internet calendar in Outlook 2016, Outlook 2019 and Outlook for Office 365

Applies to: Outlook 2016 Outlook 2019

Symptoms

You try to add an Internet calendar in Microsoft Outlook 2016, Outlook 2019 or Outlook for Office 365 by following these steps:

  1. Switch to the calendar module.

  2. In the Manage Calendars group on the toolbar, click Open Calendar.

  3. Select the From Internet option.

  4. Provide the path of your Internet calendar file.

  5. Click OK.

When you use this method for some Internet servers, the calendar is not added successfully. After a progress window opens briefly, you are returned to the calendar module without a new calendar added. Additionally, you don't receive any error messages.

Cause

By default, Outlook 2016, Outlook 2019 and Outlook for Office 365 use a new modern authentication stack. Even if the Internet calendar file that you are trying to open does not require authentication, Outlook broadcasts its ability to do modern authentication on the server that contains the calendar. Most server software responds to this broadcast by supporting modern authentication. However, some servers consider the broadcast to be an invalid client request. Therefore, they return a response that causes Outlook to cancel the attempt to add the calendar.

For example, server software that's running on Amazon Web Services (AWS) may consider the authentication broadcast to be invalid and refuse the connection.

Workaround

To work around this issue, use Outlook Web App (OWA). OWA doesn't have this authentication header behaviour. Therefore, it will successfully open the Internet calendar that you want to add.

To use OWA to add the calendar, follow these steps:

  1. Sign in to OWA.

  2. Switch to the Calendar module.

  3. Click the Add calendar menu.

  4. Select the From internet option.

  5. Provide the URL and an optional calendar name.

  6. Click Save.
