A quick guide on using the Breathe holiday calendar to view leave/absence

One of Breathe's key features is the holiday calendar. The calendar allows management to view any absence over a 1 month period, all in one place.

The calendar will display users who have an active event for the period you are using. If your employee doesn't have any leave or training etc booked they will not show on the calendar.

Breathe users also have access to view the holiday calendar, however, they will just see each other's holiday, other leave and training and not anyone else's sickness.

Please note: An individual will only show on the holiday calendar if they have an instance booked, i.e holiday, training etc. If there is nothing booked their name will not appear in the list as there is no data to show.

These are the colours you will see and what they translate to:

Booked Holiday (blue), Other Leave (light blue), Ongoing Sickness (dark pink), Sickness (light pink), Holiday Request (yellow), Company Holiday, (pale blue), One to One (green), Training (blue), Company Blackout (black), Department Blackout (grey).

To make this feature even more useful, employees' work patterns will also display on the calendar, to provide you with a full overview. The days that they work are in white and non-working days are shaded in light grey. 

Filters

There are filters within the calendar where you can choose records you wish to view, such as only sickness or training. You can also filter by department, division and location.

Submitting a leave request

After you've had a look at the holiday calendar and you fancy making a leave request, you can just click + add.

Calendar Sync

If the calendar sync is enabled in your account and you allow staff to manage their own calendars (Configure > Settings > Calendar Subscriptions), then you can add another calendar too if you need to.

Please note: Pending employees/volunteers/contractor's leave will not show on the holiday calendar until they commence employment and their status changes to current employee (or volunteer/contractor).

As a user or a line manager, you can find the holiday calendar on your dashboard in the main blue bar at the top under 'Calendar'

As an HR user you will see it in the same blue bar under 'Company' and then 'Calendar'

So what can my users see on their calendar?

  • Users can only see leave and training for other employees (they are not able to see the reason for ‘other leave’). They can also see their own sickness and One-to-ones.

  • Line Managers can see leave and training for all individuals and the other absences records for their direct line employees only.

  • HR Users can see all absence records on their version of the calendar, including sickness plus One-to-ones.

Please note: People's access to the holiday calendar depends on your company's display settings (Configure > Settings > Change what people can see and do)

FAQ

Why are individuals not showing?

A user will only display on the holiday calendar if they have an instance booked, i.e holiday, training etc. If there is nothing booked their name will not appear in the list as there is no data to show.

Can I see statutory holidays, company holidays and blackouts on the calendar?

Only if there is an individual making the calendar "active" with an event such as leave, training etc.

Can the colours be customised?

I'm afraid not. The colours are set and currently, you are unable to change this.

Can I see more than 1 month at a time?

No. The calendar will only display one month at a time.
