How to set up, assign and configure breaks for your people in your Rota shifts and timesheets

In this article, we will cover how to set up and assign breaks to your employees in the Rota, Time and Attendance add-on. Breaks are an essential part of managing your employees' work schedules, and with our easy-to-use system, you can quickly set up and assign breaks to your team.

Setting Up Breaks in Rotas

Before you can assign breaks to your employees in your Rota, you will need to set them up in the system. To do this, follow these simple steps:

Head to your left-hand menu and select Configure > RTA Settings > Rota Settings

Here you have the option to choose a default Breaks setting (top tick box).

Default settings are 0-minute breaks for shifts of 2 and 4 hours and 30 minutes for shifts of 4 hours and longer.

Alternatively, you can Enable break customisation (bottom tick box) and set up specific break durations based on shifts up to a certain length in line with your company policies.

Click in the break duration boxes to change the length of the break. If you would like to add new break conditions enter these into the break duration at the bottom, highlighted with a green tick icon. Enter the shift duration, the length of the break and then press the green tick icon to add this to your list of customised breaks...

When you are happy with the breaks you have set up press apply and save breaks.

You also have the option to reset your breaks to the default setting at anytime and choose if your people can view their breaks in the shifts they are assigned...

Once you have set up your breaks, these will automatically apply when you assign your people shifts in the rota.


Managing breaks in shifts

When you create a shift for your employees you have the option to set their break time duration.

Once you have added the hours in the shift click the shift to bring up the edit shift page displayed below.

You have the facility to add additional breaks by pressing the blue + Add another break text...

The final option you have is to choose if the breaks are paid or not paid.

Please note: Breaks are set as not paid as default. If you tick the Paid box the length of the shift length will be increased by the duration of the break you have set in the shift.


Breaks in Timesheet settings

When you people use the clock in and out feature without you setting up shifts for them, you can set up how breaks are assigned to the timesheets created.

Head to your settings to set up your timesheet break rules.

Configure > RTA Settings > Timesheet settings.

Here you have the option to use the Break duration set in a shift (top tick box) This takes the rules set up from your Rota Breaks settings.

Alternatively, you can Set break duration based on the following rules (bottom tick box) and set up specific break durations for all timesheets set up on this menu page...

As in your Rota break settings, you can customize all breaks by ticking the enable break customization box.

Click in the break duration boxes to change the length of the break. If you would like to add new break conditions enter these into the break duration at the bottom, highlighted with a green tick icon. Enter the shift duration, the length of the break and then press the green tick icon to add this to your list of customised breaks...

Press apply and save breaks and your timesheet break rules are now set up. These will now apply every time a timesheet is created.
