Your how-to guide for pay settings, shift pay and overtime

In this guide, you'll learn how you can use pay settings with the Rota, Time & Attendance module, and how to set these up according to your business.

If your people have an hourly rate set in Breathe's core HR area, this information will pull through to the Rota, Time & Attendance module. You can add and update this by heading to someone's Profile > More > Pay.

How can pay settings help?

  • When adding shifts to your rota, you can see the budget per day in the weekly summary shown at the bottom of the page, along with details of the number of shifts and staff members.

  • This is also displayed in timesheets, and works if someone adds a manual timesheet, as well as when they use the TimeClock. The cost will also be calculated here based on paid/unpaid breaks taken during the shift.

  • Lastly, this can then be shown within the timesheet reports, so you can easily tell your payroll team how much to pay your staff per shift, according to their salary and your business pay settings.

How do I set up pay settings?

To start using pay settings, you need to head to Settings > Pay settings within the Rota, Time & Attendance module.

The default tab, once clicked, is 'Pay Elements'. This is where you'll input the pay rates as per your teams' policies. In the example below, we pay 1 x salary for regular hours and 1.5 x salary for overtime.

The next tab is 'Payment Conditions'. This is how we tell the Rota, Time & Attendance module which hours we class as overtime.

For the example below, their regular shifts can last up to 9 hours - anything above this is paid as overtime. This means if they work an 11-hour shift, the system will know that 2 of these hours were worked as payable overtime.

The calculations of pay are done automatically by the system, and it will take into account any paid/unpaid breaks.

For example, based on the settings above, if an employee works an 11-hour shift, the system will know that 2 of these hours were worked as payable overtime. If the employee usually earns £10 per hour and takes no unpaid breaks, the system will calculate as follows:

9 (9h hours worked) x £10 (regular shift pay) + 2 (2h hours overtime worked) x £15 (1.5 x regular shift pay)
