Step 1: Create or Edit an Experience
Start by creating a new experience:
Go to Experiences in your dashboard
Click Add Experience or open an existing one to edit
Fill in the basic details (title, description, pricing, etc.)
Click Save & Next at the top of the page to begin setting up your checklist
Step 2: Add Trip States
Trip states define when certain tasks need to happen. Think of them as categories for timing your checklist.
Examples:
Pre-Trip
Day-Of
Post-Trip
You can create as many as needed—like “One Week Out” or “Evening Before.” Each state includes a time trigger, such as “3 days before the trip.”
Step 3: Add Tasks to Each State
Once your states are set up, you’ll add tasks underneath each one. These guide your workflow from prep to wrap-up.
Manual Tasks
Tasks that are checked off by hand—great for:
Confirming meetup locations
Prepping meals or gear
Loading shuttles or coolers
Smart Tasks
These auto-complete when Brindlechute detects the action is done. Supported smart tasks include:
Assign Guides
Collect Client Documents
Collect Guide Reports
Pay Guides
Pre Confirmation Questionnaires
Smart tasks reduce extra admin work and help you see trip progress at a glance.
Step 4: Save and Activate
Click Create Experience (or Update Experience if editing an existing one) at the top right to save. Once your checklist is complete, Brindlechute takes care of the rest. Tasks will automatically appear on trips using that experience, based on the state timing you’ve set.
Your team will always know what’s next—without needing reminders or sticky notes.
IMPORTANT:
Each checklist state must include at least one task. If a state has no tasks, you won’t be able to save the experience.
To delete a state, click the state name, then click Delete.
