Brindlechute keeps your guides informed automatically—so trip changes, assignments, and expectations are never missed.
For a quick table of every guide notification, when it's sent, and what you can change, see Explaining each Guide Notification in Brindlechute.
What They Do
Guide notifications are triggered by actions like trip assignments, cancellations, shared trip scheduling, and payments. They keep guides synced without manual follow-up.
To find them, click your organization name in the top left to open Organization settings, select Notifications, then open the Guide tab. Each notification has its own card with an on/off toggle, a Preview or Edit template link, and a Send via dropdown.
Notifications You Can Turn Off
These are on by default (except the Guide Report Reminder) and can be switched off individually. The ones marked Editable have an Edit template link so you can change the wording.
New Trip Assigned to Guide – Sent when a guide is assigned to a trip, with a link to the trip details (client info, notes, and more).
Guide Unassigned from Trip – Sent when a guide is removed from a trip.
Trip Canceled Notice – Sent when you cancel a trip a guide is assigned to, with a link to the trip details.
Guide Pre-Trip Reminder (Editable) – Sent to assigned guides a set number of days before their trip, with a link to the trip in the guide app.
Guide Report Reminder (Editable) – Off by default. Reminds guides about unsubmitted trip reports on the day of the trip and on Mondays after. See Remind Guides About Outstanding Trip Reports.
Guide Assignment Requested (Editable) – Sent when you send a guide a trip assignment request. It shows the trip date, experience, and booking client, with a link to view the trip details.
Guide Assignment Request Expired Guide (Editable) – Sent when a guide's assignment request for a trip expires, with the trip date, experience, and booking client.
New Shared Trip Schedule (Editable) – Sent when you schedule a run of shared trips with a guide. It lists every shared trip in the schedule, marks which ones need the guide's response and which they're already assigned to, and links to their calendar.
Guide's Shared Trip Schedule Requests Expired (Editable) – Sent when a whole run of shared trip requests expires unanswered, listing every shared trip the guide is no longer being asked to guide in one message.
Guide's Shared Trip Schedule Cancelled (Editable) – Sent when you cancel a run of shared trips the guide was guiding or had been asked to guide, listing every cancelled shared trip in one message.
Meetup Details Changed (Editable) – Sent to assigned guides when a trip's meetup location, date, or time changes close to the trip.
Pre-Trip Reminder Timing
You choose how many days before the trip the reminder sends, in Edit template.
The timing is the same for every guide, so there's nothing to set up per guide.
Guides can use the Pre-Trip Reminder as their main notification instead of getting a message the moment they're assigned. To do that, turn off New Trip Assigned to Guide.
Even when New Trip Assigned to Guide is off, every assigned trip still appears on the guide's calendar automatically, so guides always have quick access to their schedule.
System Default Notifications
These are marked System Default. They're always on and can't be turned off:
Guide Invitation to Connect to Organization – Sent when an existing guide is added to your roster, so they can accept from the connected outfitters tab in the guide app.
Guide Invitation to Create An Account and Join Organization – Sent when a new guide is added to your roster, asking them to create a Brindlechute guide account and then accept the invite.
Guide Invitation Reminder – A reminder sequence for invited guides who haven't accepted. It stops when they join or when the sequence ends.
Guide Gcal Conflict – Email only. Sent when an event on a guide's connected Google Calendar overlaps a trip they're assigned to. Their calendar then shows them as unavailable during that trip. The email shows the trip date, client, and outfitter, and asks the guide to remove or adjust the calendar event if they're still available, or reply so you can reassign the trip. It includes a View my schedule button.
Guide Payment Deposited – Sent when a payment from your organization lands in the guide's bank account.
Guide Needs to Connect Bank Account – Email only. Sent to guides with a pending payment who haven't connected a bank account yet, prompting them to finish their Stripe setup.
Choosing How They’re Sent
Use the Send via dropdown on each card to pick the delivery method, such as Email & SMS or Email only. Guide Gcal Conflict and Guide Needs to Connect Bank Account are always sent by email only.
Turn Off All Guide Notifications
At the top of the Guide tab, under Guide notification controls, the Guide notification toggle controls all guide notifications at once.
If turned off, this will temporarily stop all automated guide communications for all bookings. This includes trip alerts, reminders, and payment updates until you turn it back on.
This setting is helpful during setup, testing, or special situations where you need to pause outgoing messages. Turn it back on at any time to resume normal guide notifications.
Why It Works
These messages are workflow-driven and designed around how outfitters operate in the field. They reduce gaps in communication and help your team show up prepared.
If your team needs additional reminders or unique timing, Brindlechute Support can help you explore options.
