How to Import Leads From Your CRM

Seamless Syncing with Your CRM

BrokerBlocks connects directly with your CRM to automatically bring in the leads that matter most - so you can spend less time managing data and more time following up.


🔗 How Lead Import Works

When your account is first created, your team’s CRM API key is automatically connected to BrokerBlocks. This connection allows us to sync with your CRM and begin pulling in lead data.

By default, specific stages from your CRM are selected to sync, and the lead creation timeline is preset to help you focus on recent opportunities. If these settings haven’t been locked by your team, you’ll be able to fine-tune which leads appear in BrokerBlocks by customizing your sync preferences directly in your account.


⚙️ How to Access Your CRM Settings

From your BrokerBlocks dashboard, click “CRM” in the top navigation bar. This will open your CRM Integration Settings.

Here, you can:

  1. You can view the current team API key. If you have the necessary permissions, you can replace it with your personal API key.

  2. To use your personal key, check the box to disable the team API key.




🧠 Which Leads Are Pulled Into BrokerBlocks?

By default, BrokerBlocks is designed to bring in leads that you’ve made meaningful contact with—not cold or unqualified leads. If your team lead has granted you access you can fine-tune which stages sync by:

  • Clicking the “Advanced Settings” tab

  • Selecting/deselecting specific CRM stages

  • Making sure only relevant contacts are pulled in

This helps keep your BrokerBlocks dashboard focused on leads in the middle of your sales pipeline - those most likely to convert.


🕒 What’s the Import Timeline?

When a qualifying lead is created in your CRM and meets the import criteria, it will be pulled into BrokerBlocks based on your selected import timeline. This setting controls sync frequency and ensures that only recent, relevant leads appear in your account.

Don’t forget to click Save in the bottom right corner after updating your settings!


🛠 What If a Lead Isn't Showing Up?

It happens! A lead may not appear in BrokerBlocks for a few common reasons:

  • They were created outside of the import timeline or lead import rules

  • They’re in a CRM stage not selected for sync

Here’s how to bring them in manually:


🔍 Option 1: Use the Search Bar

  1. Use the search bar in the left-hand menu.

  2. Enter the contact’s name or details and click Search.

  3. If the contact exists in BrokerBlocks, their info will appear in the results.

  4. If not, a blue box will appear with a “Search in CRM” button.

  5. Click it to search your CRM, and if found, you’ll have the option to import the lead directly into BrokerBlocks.



🧩 Option 2: Use the BrokerBlocks Widget Inside Your CRM

If you're using a CRM like Follow Up Boss:

  1. Go to the contact’s page in your CRM.

  2. If the lead hasn’t been imported yet, the BrokerBlocks widget will display an “Import Opportunity” button.

  3. Click “Import Opportunity” to instantly sync the contact to BrokerBlocks.

  4. You'll know the lead has synced when the widget updates with your Touch Points.



📌 Pro Tip: Clean Lead Sync = Cleaner Touch Points

Make sure your CRM is organized and your contact stages are clearly defined. The better your CRM data, the smarter and more accurate your Touch Point suggestions will be.
