CRM Import: Follow Up Boss

Learn how BrokerBlocks seamlessly imports your Follow Up Boss leads and how import settings control what appears in your account.

BrokerBlocks connects directly to Follow Up Boss to automatically import and sync your leads. Once connected, your account updates every hour β€” so you can focus on follow-ups, not data management. Here's how to confirm your connection and how import settings control what appears in your account.


πŸ”‘ Before You Start β€” Get Your Follow Up Boss API Key

To connect BrokerBlocks to Follow Up Boss, you'll need your Follow Up Boss API key. This must be generated by the FUB account owner.

Important: API keys give access to your Follow Up Boss account β€” keep them safe just like your password.


βœ… Confirm Your Follow Up Boss Connection

To verify that BrokerBlocks is properly connected to your Follow Up Boss account:

  • From your BrokerBlocks Dashboard, click CRM in the upper-right corner

  • In the Import from Follow Up Boss window, confirm your FUB account login email is displayed

  • Look for the confirmation message indicating your account is successfully connected

If your email is visible and the connection is confirmed, your Follow Up Boss integration is active and leads will begin importing automatically.


⚠️ If Your Account Is Not Connected

If you don't see a successful connection message, verify that the correct Follow Up Boss login email is being used:

  • Log in to Follow Up Boss

  • Click your profile icon in the upper-right corner and select My Settings

  • Locate and confirm your login email address

  • Return to BrokerBlocks, update the email in CRM settings if needed, and click Import Leads

Note: Your BrokerBlocks login email and Follow Up Boss login email may be different β€” make sure you're using the FUB email in the CRM settings.


βš™οΈ Import Settings

BrokerBlocks lets you configure Follow Up Boss import settings at either the group level or user level, depending on your assigned permissions. You can customize which leads are imported using the following settings:

Stages
Default selections include Lead, Hot Prospect, Active Client, Pending, Past Client, and Closed.

Lookback Periods

  • Buyer Leads: Default is 30 days (a minimum of 90 days is enforced)

  • Seller Leads: Default is 90 days

Tags
Default tag applied: brokerblocks. Leads with this tag are imported regardless of when they were created β€” they bypass the lookback period entirely.

Note: If these settings are grayed out, your admin has locked them at the group level. Reach out to the BrokerBlocks Member Success team at help@brokerblocks.com for assistance.


πŸ”„ How Import Logic Works

Follow Up Boss imports are refreshed every hour. Leads are evaluated against your settings in this order:

  • Leads assigned to ponds are never imported, regardless of any other settings

  • Leads with stage Trash are never imported

  • Hot Prospect leads are imported regardless of creation date β€” the lookback period does not apply

  • Leads with the brokerblocks tag are imported regardless of when they were created

  • Buyer leads β€” Closed and Past Client are imported if created within the past 90 days; all others within your configured lookback period (minimum 90 days)

  • Seller leads β€” same rules as buyer leads, using the seller lookback period

Additionally, if a lead that was previously archived in BrokerBlocks gains Hot Prospect status in Follow Up Boss, it will be automatically unarchived on the next import cycle.


πŸ”§ Group vs. User-Level Settings

BrokerBlocks uses a combination of group-level and user-level configurations to determine which import settings apply to your account:

  • CRM Type β€” Selected by the user. Even if your group uses BoldTrail, you can choose to import from Follow Up Boss on your individual account

  • API Key β€” If your group has FUB set as the CRM, the group-level key is used. Otherwise, your individual key is used

  • Email β€” Set at the user level. BrokerBlocks uses this to look up your FUB user ID and identify which leads belong to you

  • Stages β€” Pulled from group settings if locked by your admin; otherwise from your user-level settings

  • Lookback Period β€” Same as stages β€” group settings take priority if locked, otherwise user-level applies

  • Tags β€” Always pulled from user-level settings


πŸ›  What If a Lead Isn't Showing Up?

If a lead isn't appearing in BrokerBlocks, it's likely because it doesn't meet the current import criteria. Check the following in Follow Up Boss:

  • The lead's stage is one of the stages selected in your import settings

  • The lead was created within your lookback period

  • The lead is not assigned to a pond

  • The lead has a valid email address

If the lead meets all criteria but still isn't importing, try bringing them in manually:

  • Use the search bar in the left-hand menu, search by name, and click Search in CRM if they don't appear in results

  • Or use the BrokerBlocks widget directly on the contact's page in Follow Up Boss β€” click Import Opportunity to pull them in immediately
