CRM Import: BoldTrail

Learn how BrokerBlocks connects to BoldTrail, how import settings control which leads appear in your account, and how to troubleshoot common issues.

BrokerBlocks connects directly to BoldTrail to automatically import and sync your leads. Once connected, your account stays up-to-date every hour β€” so you can focus on follow-ups, not data management. Here's how to get connected and how import settings control what appears in your account.


πŸ”‘ Before You Start β€” Generate Your BoldTrail API Token

To connect BrokerBlocks to BoldTrail, you'll need a BoldTrail API token. Tokens must be generated by a BoldTrail account owner and require access to both the Contacts and User scopes.

Important: Each token is valid for one year from the date it was generated. At the end of the year, you'll need to generate a new token and provide it to your BrokerBlocks team.


βœ… Confirm Your BoldTrail Connection

To verify that BrokerBlocks is properly connected to BoldTrail:

  • From your BrokerBlocks Dashboard, click CRM in the upper-right corner

  • In the Import from CRM window, confirm your BoldTrail account login email is displayed

If your email is visible and the connection is confirmed, your BoldTrail integration is active and leads will begin importing automatically.

Note: Your BrokerBlocks login email and BoldTrail login email may be different. Make sure you're using the BoldTrail email in the CRM settings.


βš™οΈ Import Settings

BrokerBlocks lets you configure BoldTrail import settings at either the group level or user level, depending on your assigned permissions. You can customize which leads are imported using the following settings:

Statuses
BoldTrail statuses are pre-defined. You can select which ones to include in your import:

  • New

  • Client

  • Closed

  • Sphere

  • Active

  • Contact

  • Prospect

Default selections: New, Client, Active

Lookback Period
Controls how far back leads are synced. The default is 30 days β€” meaning BrokerBlocks imports leads created in BoldTrail within the past 30 days that have one of your selected statuses.

Note: If these settings are grayed out, your admin has locked them at the group level. Reach out to the BrokerBlocks Member Success team at help@brokerblocks.com for assistance.


πŸ”„ How Import Logic Works

BoldTrail imports are refreshed every hour. All leads created within your lookback period that have one of your selected statuses will be imported β€” no exceptions or special rules.


πŸ”’ Public vs. Private Contacts in BoldTrail

BoldTrail allows contacts to be marked as Private. Private contacts are locked and cannot be accessed by outside systems β€” including BrokerBlocks. If a lead is marked as Private in BoldTrail, it will not import into BrokerBlocks.

If a contact isn't showing up and you believe it should be, check their privacy setting in BoldTrail and make sure it's set to Public. Once updated, the contact should import on the next hourly sync.


πŸ”§ Group vs. User-Level Settings

BrokerBlocks uses a combination of group-level and user-level settings to determine which import configuration applies to your account:

  • CRM Type β€” Selected by the user. Even if your group is set to a different CRM, you can choose to import from BoldTrail on your individual account

  • API Token β€” If your group has BoldTrail set as the CRM, the group-level token is used. Otherwise, your individual token is used

  • Email β€” Set at the user level. BrokerBlocks uses this to identify which BoldTrail leads belong to you

  • Statuses β€” Pulled from group settings if locked by your admin; otherwise from your user-level settings

  • Lookback Period β€” Same as statuses β€” group settings take priority if locked, otherwise user-level applies


πŸ›  What If a Lead Isn't Showing Up?

If a lead isn't appearing in BrokerBlocks, check the following in BoldTrail:

  • The lead's status is one of the statuses selected in your import settings

  • The lead was created within your lookback period (e.g., within the last 30 days)

  • The lead is assigned to your BoldTrail user account (matched by your login email)

  • The lead is set to Public, not Private

If a lead meets all these criteria but still isn't importing, try bringing them in manually:

  • Use the search bar in the left-hand menu, search for the contact by name, and click Search in CRM if they don't appear in results

  • Or use the BrokerBlocks widget directly on the contact's page in BoldTrail β€” click Import Opportunity to pull them in immediately
