For group classes and workshop sessions, you may want to make them bookable only during a specific time frame: for example, opening to booking at a fixed moment or closing to booking shortly before the session starts. This is what we call the booking window.
We offer two types of booking windows:
Relative booking window
With this setting, you define how long before the session starts bookings will open and close.
This is the default configuration, and it can be set directly in the activity settings.
Note that you can also define up to 3 custom rules based on member tags.
This allows you, for example, to give VIP members earlier access to bookings by offering them a wider booking window.
Each session of this group activity will only be bookable between 15 days and 6 hours before it starts.
Fixed booking window
The other configuration is the fixed booking window.
Unlike the relative booking window, this one allows you to open bookings for all sessions happening in the next N days, every week at a specific day and time.
Example
Let’s say that every Sunday at 11 a.m., you want to open bookings for all sessions scheduled in the following 10 days.
This is exactly what the fixed booking window does.
Just like with the relative booking window, you can create custom rules based on member tags.
For instance, you can allow VIP members to book 1 day earlier than the rest. In this case, they would get access to the sessions of the next 11 days every Saturday at 11 a.m.
Important:
This configuration cannot be set from the back office.
If you're interested, please contact your Account Manager, who will configure it for you.
Settings required
To configure a fixed booking window, the following informations are needed:
Day and time of the week when the booking window should open (e.g. Sunday at 11 a.m.)
Number of days in advance for which sessions should become bookable (e.g. 10 days)
This number must be greater than 7. Otherwise, some sessions may never become available for booking. The most common setting is 10 days, but you’re free to choose the value that fits your needs.
Optional: Tag-based rule
You can define a separate rule for a specific tag. In that case, please provide:
The tag
The day/time and number of days that should apply to members with this tag only
