Create, edit, cancel or delete your sessions (Add a class to Calendar)

This article covers both the old Back Office and the new Back Office.

Terminology update: "session" is now class throughout, and Establishment is now Venue.

Add a class to the Calendar

Click Add class in the top bar to start.

Step 1: Choose class. Select the activity or class type you're creating.

Step 2: Setup. Enter the class details — date, time, teacher, venue, and capacity.

Step 3: Advanced options. Set tags, whether the class is visible to aggregators (ClassPass, Wellhub, and others — on by default), and any other advanced settings.

Click Add class to save. You'll get a confirmation message.

Edit, duplicate, or copy the link to a class

Open the 3-dot menu at the end of the row that displays the class to Edit, Duplicate, or Copy link (previously reached via the wheel icon).

The edit flow itself hasn't changed: you'll be asked whether to notify clients, and — for recurring or grouped classes — whether the edit applies to this class only, this and future classes, or all of them. Editing a hybrid class shows an extra warning.

Cancel, restore, or permanently delete a class

Use the same 3-dot menu to Cancel an active class. Once cancelled, the menu shows Restore and Permanently delete instead.

Restoring a class brings back the slot only — it doesn't restore the bookings that were on it. Clients need to be re-registered. Cancelled bookings stay visible on the booking management page.

Can I restore bookings from a cancelled class?
No, you can't restore bookings, only restore the class to the Calendar.

In the previous Back Office

Create a session. You have two options:

  • From the Calendar: click Add Sessions, select the activity, and confirm. The session creation form appears.

  • From My Studio > Group Activities: select the activity, then click Add sessions.

From the form, you can create a single session or recurring daily, weekly, or monthly sessions. You can also give this particular session a custom name and description (click Set custom name) — useful for special events like anniversaries or themed classes. Click Save when done.

Edit a session. Go to the Calendar and click Edit on the session. You can change all its characteristics — activity, name, description, date, time, duration, capacity, waiting list size — and change the teacher or set a substitute. You'll then be asked whether to notify your clients, and whether to apply the change to a single session or similar sessions.

⚠️ This only modifies future sessions of this type, not past ones.

Cancel a session. In the Calendar, select the session and click Cancel. You can notify your clients and cancel similar sessions at the same time.

⚠️ Cancelling is reversible, but bookings and the waiting list will not be restored.

Hide cancelled sessions. On the manager side, click the wheel icon at the top left of the Calendar, then Hide cancellations. On the client side, go to Settings > Personalisation and untick Show cancelled sessions on the client calendar.

Restore a cancelled session. Click the cancelled session in the Calendar, then Restore session. Bookings and the waiting list are not restored — you'll need to re-register your clients manually.

Delete a session. A session must be cancelled before it can be deleted. Click the cancelled session in the Calendar, then delete it.

⚠️ You can't delete a session that still has reservations on it.
