Create, edit, cancel or delete your sessions (classes)

This article now covers both the new Back Office and the previous Back Office to create, edit, cancel, restore, or permanently delete a class.

Step 1: Create one or more session(s)

To do this, you have 2 possibilities:

From the Calendar

Click on 'Add Sessions':

Then select the activity on which you want to add a session and confirm:

Once this is done, the session creation form will appear:

From this form,

  • You can personalize the name and/or description of this particular session if you want to showcase a special event such as an anniversary, a themed class etc.. To do so, click on "Set custom name", then enter your new name and/or description and click on Save.
    The customized name and/or description will be displayed on the backoffice and on the member side each time that the session appears.


    To go back to the by-default name and description, you can empty the custom fields and Save the session's form.

Please note that on Classpass the session will still displayed the original name and description

  • You can create either a single session or recurring monthly, weekly or daily sessions.

Once the form is completed, click on 'Save' :

Open the tab and then click on Group Activities to select the activity of your choice:


Then, click on 'Add sessions':

And you will come across the session creation form again.

Step 2: Modify one or more sessions

Go to the Calendar and click on the "Edit" button of the session you want to modify

From this form,

  • You will be able to modify all the characteristics of the session: the activity, the name, the description, the date, the time, the duration, the number of students, the size of the waiting list etc.

  • You will also be able to change the teacher OR select a substitute teacher who will take over the session in the absence of the teacher.

Once this is done, you'll reach a second step where you will be able to inform your clients of the changes made.

You will also have the opportunity to modify a single session, or to select the similar sessions you wish to modify.

WARNING: This will only modify the FUTURE sessions of this type of session (and not those of the past).

Step 3: Cancel a session

To cancel a session, go to the Calendar, select the session of your choice and click on cancel.

WARNING: This action is reversible, but the reservations and the waiting list will not be restored.

When you click on 'Cancel', a window appears:

You will then be able to notify your clients and cancel similar sessions.

WARNING: A cancelled session is still visible to the students. To hide cancelled sessions on the client calendar, go to Settings > Personalization.

Step 4: Hide a cancelled session

  • On the Manager side: Click on the wheel at the top left of the Calendar, then 'Hide cancellations'

  • On the Client side: Go to Settings then Personalization. Uncheck 'Show cancelled sessions on the client calendar'.

Step 5: Restore a cancelled session

To restore a cancelled session, go to Calendar, then click on the cancelled session.

Click on 'Restore session' :

WARNING: Bookings and the waiting list will not be restored, you will have to manually re-register your students.

Step 6: Delete a session

To delete a session, you must have cancelled it beforehand. Once this is done, you can go to the Calendar, then click on the session you wish to delete.

WARNING: It is impossible to delete a session on which there are reservations

Steps

Create a class

Select Add a class from the Calendar.

Step 1: Choose a service

Choose the service (either a Group class or Workshop) to add the class from. Think of these like templates, which you set up from the Services page.

Step 2: Class details

Enter the date, time, teacher, and venue for the class.

Step 3: Advanced settings

Set any additional options — level, tags, aggregator visibility, and recurrence.

Select Save. A confirmation toast appears, and you'll be able to see the class in the calendar.

Edit a class

Select the 3 dots on the class's row, then select Edit.

If you're editing a recurring or series class, you'll be asked whether the change applies to this class only, this and future classes, or all classes in the series. Hybrid classes show an additional warning, since editing affects both the in-person and online class.

You'll also be asked whether to notify clients of the change.

Cancel a class

Select the 3 dots on the class's row, then select Cancel.

Confirm the cancellation. You'll be asked whether to notify clients, and — for recurring, series, or hybrid classes — which classes the cancellation applies to.

What hasn't changed: cancelling a class does not cancel existing bookings automatically.

Restore a cancelled class

Cancelled classes are hidden by default — use the "Show cancelled classes" toggle under Display to reveal them in the class table.

Select the 3 dots on the cancelled class's row, then select Restore.

Restoring a class brings back the slot only. Existing bookings are not restored.

Permanently delete a cancelled class

Select the 3 dots on the cancelled class's row, then select Permanently delete.

This action is irreversible — the class and its history are removed completely.
