Merge duplicate client profiles

This article will guide you on how to merge duplicate client profiles on the Classic Back Office and the New Back Office.

ℹ️ This article covers the client profile in the new Back Office and the Classic Back Office. This article will be updated as we release more improvements over the coming months.

Duplicate profiles usually happen when the same client registers twice with different email addresses. Merging combines them into one profile.

In the New Back Office

Start from the duplicate profile you want to delete.

  1. Go to Clients > Profiles and open the profile you want to delete.

  2. Select the three-dot menu at the top of the page, then Merge profiles.

  3. Search for the profile you want to keep, select it, then select Next.

  4. Review the merge. The profile on the left is kept and the one on the right is deleted. You can edit the first and last name of the profile you're keeping.

  5. Select Merge, then Merge again to confirm.

When you merge profiles:

  • The account balance, bookings, passes, notes, and invoices move to the profile you're keeping.

  • Tags from the deleted profile aren't transferred.

  • Both clients get an email letting them know about the merge.

You can't undo a merge once it's confirmed. If your studio is part of a franchise, profiles are merged across the whole franchise, which can take some time. You'll be notified when it's done.

In the Classic Back Office

Go to the member profile that must be deleted and select Merge.

Find the member whose account should be kept and select the arrow.

Verify the information and select Save at the bottom of the page.

⚠️ Make sure to copy the following information from the member profile that will be deleted to the member profile that will be kept: first name, last name, sex, phone number, and postal address. Without this, the merge won't work properly.

If the phone number contains a 0 after the country code, the merge won't work. Remove the 0 to get the format +44 7 XXX XXX XX.
