Set up a recurring booking for private appointments

This article will show you how to set up a recurrent bookings for private appointments.

There are 2 different methods.

1st Method: Directly on the member's account.

Search for the member in the search bar.

Click on the 'Appointments' tab > Add a recurrent appointment.

Select the appointment type:

Fill in the form:

  • Establishment

  • Teacher

  • Date and time

  • Number of weeks in advance the member will be automatically registered (the maximum number can not exceed 8 weeks)

⚠️ By default, bookings will not be possible if the teacher, room or appointment are not available unless this option at the bottom is ticked!

To notify members regarding canceled bookings for recurrent appointments, go to Settings > Transactional emails > Recurring appointment > Check that sending an email in both scenarios is set up

You have just created a recurring booking.

In order to cancel it, you just need to click on the cross at the right.

2nd Method: Directly from the Schedule page.

In 'Schedule', click and drag to select a time slot > Choose 'Book an appointment'.

Look for the member in the search bar.

Select the type of appointment > Fill in the form.

Click on 'Schedule a recurring appointment'.

⚠️ The maximum number can not exceed 8 weeks!

Please note: You can force a booking even if a teacher, a room or an appointment are not available

Choose an existing pass or bill a new one > Save.

You might get a warning message when selecting the room and/or the teacher to let you know that you have not scheduled availability for them but you can overrule that warning by saving.

⚠️ If you choose not to check this box, by default reservations will not be made if the teacher, room or appointment are not available!

To notify members and teachers about bookings that could not be made, go to Settings > Transactional emails > Recurring appointments > Make sure that sending an email in both scenarios is set up
