The idea is to set up private appointments that the member can book, as well as payroll rules that will enable you to track what your practitioners owe you for any room rental.

Contrary to their original use, the payroll rules will allow you to know exactly how many hours the practitioner has used your room. With this information, you can invoice them for the hours they owe you.

All you need to do is follow three simple steps:

  1. Create private appointments and set-up the availabilities of practitioners (created in teacher's section) from their teacher account, in order to offer slots that can be booked by members.

  2. Set the payroll rules that will determine how much practitioners are billed for each of their consultations, for the rental of your room.

Here, the aim is to set a fixed rate for each consultation: if a member books a one-hour slot, the teacher will have to pay you the amount of his fixed "remuneration".

    Here's an example:

Room rental costs the practitioner €50, so I set my payroll rule so that it "pays" (which, in reality, will be billed to the teacher) a fixed rate of €50 per consultation.

A member books a consultation: this blocks a slot. I find the consultation on the teacher's pay slip. I now know that the practitioner owes me €50 for the room rental he used to carry out his consultation with the member.

Don't forget billing! Two options here:

a. Give members the option of paying their appointment card later, and keep all appointments unpaid until the teacher collects the person and registers them on the platform as "Manual Payment".

⚠️ You will also need to give your practitioners/staff access so that they can manually update the invoice for their consultations/sessions once the member has done his session.

OR

b. Set the appointment card to 0€, so that all your members can book easily and can only pay the practitioner when they arrive at the consultation.

⚠️ The practitioner will not have to manually enter the payment in the back-office. The downside is that there will be no real accounting follow-up, as appointment cards will be invoiced at 0€.
