Call the roll

With this article, discover the roll call functionality. This article now covers both the new Back Office and the previous Back Office.

The roll call functionality is triggered when using no-show penalties, for more information see the following help sheet.

It will allow you to note your members as present/absent on each of your sessions.

Step 1: Go to the Calendar

If the roll call function is activated, you will see new elements indicating whether the calls for the day's sessions require validation.

Step 2: Making the roll call

To make the roll call, you have two choices:

  • By clicking on the red or green icon from the calendar page

  • From the booking page of the session: you can validate with the button on the top left

Step 3: Modify the roll call

For a while, it is still possible to modify the roll call even after validation. Simply go back to the pages of the previous step and change the Absent/Present status and then re-validate the roll call.

If the status of a member is modified but the roll call has not been validated, you will be warned thanks to a Warning icon. To make it disappear, just validate again.

Step 4: Validate all the roll calls of the day

You can validate several roll calls at the same time thanks to the "Validate all calls" button on the Calendar page.

What changed in the new Back Office

Confirming attendance now works day by day. A yellow banner appears on any day with unconfirmed attendance. Select Confirm all to mark the full class roster for that day at once, or confirm class by class.

Once confirmed, the validator's name and a timestamp are recorded against the day.

Note: attendance can only be confirmed within the validation window — check the no-show penalties article for how this affects penalty timing.

What hasn't changed

Marking an individual client's attendance still works the same way — select the client in the class roster and update their status.
