How to Manage Email Campaigns for Franchises

In this article, you will find the steps to follow to ensure effective email campaign delivery from your franchise.

Goal

Campaigns can be sent from the master account (MA), but the emails are not sent directly from the MA; they are sent from the franchisee's backoffice (BO). Understanding this logic is crucial to know who will be billed.

Sending a Campaign

When sending a campaign from the master account, you have the choice between:

  • Selecting a template

  • Select studios

Franchisee Email

The list of franchisee emails corresponds to the company email of each franchisee.

⚠️ It does not correspond to the company's sender email.

Custom Email Domain

The custom domain must be defined in the admin under Franchisor.

Sending Logic

The sending logic is a bit peculiar. Emails are not sent from the master account but from each of the franchisees.

💡 On the customer side, members will still see the franchisee email or custom email selected even though the email is actually sent from another franchisee.

All Members Campaign

If the "all members" toggle is activated:

  • The system will start with the first franchisee in alphabetical order.

  • It will send the communication to all the members of this franchisee.

  • Then, the system will proceed to the next franchisee in alphabetical order and send communications to its members, ensuring not to contact the previously contacted members again.

  • And so on...

💡 For franchises with a shared database (all of our franchises), this means that it is always the first franchisee in alphabetical order that will send the emails and also pay for them.

Smartlist Filtering

You can also deactivate the "send to all members" toggle to filter the franchisees and add a smartlist to filter even more within those franchisees.

  • Here, there is no alphabetical order. The system arbitrarily chooses which franchisee to start with.

  • Then it moves on to the other selected franchisees and so on, following the same rules as stated before.

  • We do not take the intersection of smartlist/studios for the list of members to whom we are going to send the communications.

    • Meaning that if I have Studio A and Studio B, and Member 1 is part of Studio A but not B, if those two studios are selected for the campaign, the member will receive the communication.

    • Basically, we take all the members from all the smartlists/studios selected.

  • In this case, it is difficult to know exactly which studios will send the communication. It is most likely that all studios will send something.

Select a Sending Studio

In the case the franchise has a shared database AND the manager wants to send a communication to all the members:

Normally, it is always the first franchisee in alphabetical order that will send the communications and pay for them. But if you want to select another one:

  1. In the desired franchisee, create a smartlist with all members.

  2. In the master account, uncheck "all members" and only activate the desired franchisee.

  3. Then select the smartlist you just created.

  4. Send, and it's done. This franchisee will be the one sending the communications and paying for them.

💡 Remember, even though all communications are coming from one franchisee, the sender email that will appear for the member is the one selected.
