Introduction
Bukku's audit trail shows you exactly what happened to your transactions — who made a change, what was changed, and when. This helps with accountability, spotting discrepancies, and staying audit-ready without needing to ask around.
You can access this same audit trail information in two ways: scoped to just one transaction, or as a full report covering your whole account.
Audit Trail for a Single Transaction
The quickest way to check a transaction's history is directly on the transaction itself:
Locate your transaction > Click View
Scroll to the History section — you'll see a table of all actions performed on that transaction, with the following columns:
Date — date and time of the action
User — who performed it
Channel — where the transaction was created/updated from
Action — e.g. Updated, Created as Ready
Understanding "Channel"
Channel tells you where a transaction's action originated from. Possible channels include:
Transaction — created/edited manually within the transaction itself
Shoebox — created via Digital Shoebox
Bank Reconciliation — created while reconciling
Flow — created via Flow module (e.g. auto or manual invoice posting from Flow module)
Store — created via a Bukku Store order
Instruction — created via a Recurring Instruction
Interest Invoice — created via the Run Interest Invoice function
Payroll — created via a payroll file import
Note: For actions done automatically by the system, the User column may be blank:
Flow — if auto-posting is enabled in your Flow settings, the invoice is created by the system, so no user is logged
Instruction — recurring instructions auto-generate transactions on schedule, so no user is logged
Store — if a Bukku Store order is paid via a payment gateway, it's auto-posted as an invoice by the system, so no user is logged. (If instead manually processed, the user who did so will show)
Viewing What Changed
Click the eye icon for each row to see what changed, if the action is Updated. This includes:
Anything added — highlighted in green 🟢
Anything removed — struck through in red 🔴
Anything updated — highlighted in yellow 🟡
Amount changes — shown in a Before/After table
For other actions, click View to see the transaction as it stood at that point.
Audit Trail Report for All Transactions
If you need to search across all transactions — not just one — go to Reports > All Reports > Audit Trail.
You can filter the report by:
Date Range
Search — search by Transaction No., Contact Name & Contact Code.
Transaction Type
Performed by — filter by a specific user
Actions — filter by the type of action performed, including:
Created as Draft
Created as Ready
Created as Pending Approval
Updated
Marked as Pending Approval
Marked as Ready
Marked as Void
Unvoid
Deleted
Click Update to run the report if there is filter.
The results table shows, for each action logged, with the following columns:
Date — date and time the action was performed
Performed by — the user who performed the action (may be blank for system-generated actions — see Understanding "Channel" above)
Type — transaction type
Action Performed — e.g. Updated, Created as Ready, Deleted
Contact — the customer/supplier/employee tied to the transaction
Amount — transaction amount
Action — View, Compare, or Recreate Transaction
Viewing What Changed
Click Compare on any entry marked Updated to see what changed. This includes:
Anything added — highlighted in green 🟢
Anything removed — struck through in red 🔴
Anything updated — highlighted in yellow 🟡
Amount changes — shown in a Before/After table
For other actions, click View instead.
Recreating a Deleted Transaction
If a transaction was deleted, you can attempt to restore it directly from Reports > All Reports > Audit Trail:
Locate the deleted transaction in the report > Click the ⋯ (3 dots) next to View.
Select Recreate Transaction
You'll see a confirmation message:
"Recreate Transaction - [Transaction No.]
Please note that recreate transaction doesn't always work, it will fail if one or more required resources (such as accounts or products) are no longer in the system.
Are you sure you want to proceed?"
Click OK to proceed.
Once recreated, a confirmation banner appears at the top of the page. Click View on the banner to go straight to the newly created transaction.
Note:
Recreation can fail if any accounts, products, or other resources used in the original transaction have since been deleted or deactivated.
The recreated transaction will use the same document number (e.g. IV-00064) — unless that number has already been used by a new transaction created since the deletion. In that case, you'll see:
"Number Used The invoice number IV-00064 is used. Do you want to proceed with the next running number?"
Audit Trail for Contacts, Products & Services, and Chart of Accounts
Audit trail isn't just for transactions — Bukku also keeps a History of who created or updated your master data, including Contacts, Products & Services, and Chart of Accounts.
To view it, locate the record and click the History button (clock icon) at the top right of the page. You'll see a table of all actions performed on that record, with the following columns:
Date — date and time of the action
User — who performed it
Action — Created, Updated, Deactivated, or Activated
Click into an entry to see what changed, if the action is Updated. This includes:
Anything added — highlighted in green 🟢
Anything removed — struck through in red 🔴
Anything updated — highlighted in yellow 🟡
Contacts
Products & Services
Chart of Accounts
Important Notes / Tips
Voided but not deleted
If a transaction was only voided (not deleted), Recreate Transaction won't apply — instead, go to the transaction's module, click More Filters, filter Status: Void, locate the transaction, click the ⋯ (3 dots) next to View, then select Unvoid.
Access permissions
Access to Audit Trail (both the single-transaction History and the full Audit Trail Report) is controlled by one permission.
To hide it for a user, go to Control Panel > User, locate the user, click the ⋯ (3 dots) next to View, then select Manage Permission and untick Audit Trail under Reports module. Unticking it hides both the transaction's History and the Audit Trail Report from that user; ticking it grants access to both.
As Audit Trail Report is a sub-module under Reports, managing access to it requires Advanced User Permissions (User permissions - 2 levels), which is only available on the Prime and Elite plans.
