The FERPA Permissions Search tool in CampusESP allows FERPA administrators to easily check a student’s FERPA connection status with a parent or family member. You can find students by name, email, or ID number, and confirm whether they’ve granted access to their records to their parents or family members.
Navigate to the FERPA Permissions Search by clicking into the FERPA area. You can also navigate directly there by visiting https://[your-portal-url].campusesp.com/admin/ferpa
.
Search for a student
Use the Student Search area to find the student whose connection status you’d like to check. You can search by typing a student’s name, email address, or ID number.
As you type, student records will begin populating.
Students with active connections will have a verification badge next to their name.
See a student’s connections
Click on a student’s name to view their FERPA connections. You’ll see a list of active and pending connections, and have the option to expand a section containing any cancelled connections. For each connection, you’ll see their name and profile photo, who initiated the connection, their relationship with the student (if identified), and their email address.
If a student has no connections, you’ll see a “No FERPA access grants found for this student.” message.
Select a connection
Click the caret icon (⌄) to the right of a connection to expand the connection and see which grants the student has approved to share with the connection.
NOTE: Depending on your level of admin access within the platform, you may not be able to see the list of grants until the connection confirms their identity via PIN or email.
Verify Security PIN or Email
Before sharing FERPA-protected information with a parent or family member in person or over the phone, please verify their identity. Enter the parent or family member’s PIN or email address to confirm their identity.
When a connection’s identity is verified, you’ll see a “Verification successful.” message.
Reset a connection’s PIN

If a connection is unable to verify their PIN or email address, you’ll see an “Incorrect verification. Please try again.” error message. Do not share any student information with a connection who cannot be verified by PIN or email.
Use the link in that error message to send them an email to reset their PIN.
View access grants
Once you’ve selected a connection and verified their identity, use the table of access grants to verify which information you can share with the connection.
For each connection, you’ll see a table of information including grant types, its status, the date access was granted, and the date access expires. You can also click the View connection history link to see a history of changes the student has made to their grant access.
View student tile data
Depending on your institution's selected settings in CampusESP, you may be able to see student tiles after verifying a parent’s identity.
If you see these tiles, feel free to click on any one to see the data families are currently seeing. This may help you answer questions for the family member.
NOTE: Data only updates in CampusESP once daily. If recent changes are reflected in other systems, it's normal for them not to appear in these tiles until data is updated overnight!
