If you have elevated permissions in Carebility, you’ll see the option to run Activity Reports. This report gives you a clear overview of learner progress and can help you track required education across your facility.

🛠Understanding Activity Reports

There are two main types of reports available in Carebility:

  • Provider (Facility) Reports – best for a high-level overview of the facility.

    • Reports → Activity → Export

  • User Activity Reports – best for detailed information on individual learners within the facility.

    • Reports → Activity → Select a Provider → Export

Step 1: Set Your Filters

Before running any report, you’ll need to apply filters:

Date Range Picker

Choose how you want to search:

  • Due Date – shows courses based on the due date of that course (choose this option if you want to see past due, upcoming, or completed classes within that time frame selected)

  • Completed Date – shows courses based on the date when they were finished

Then select your date range based on that choice.

All Activities

Use this to filter by:

  • A specific course

  • Multiple courses

  • A course block (group of courses)

More Filters (Optional)

Additional filtering options include:

  • Custom Tags (if enabled)
These are set by your organization and may include things like department, job role, or location.
Not all organizations use this feature—check with your administrator if you're unsure.

  • User Status

    • Active

    • Pending

    • Inactive
      (Defaults to Active + Pending)

Choosing the Right Report

Provider Reports (Facility-Level)

Best for: Quick overview of overall performance

After setting filters, select:

Export → Summary

  • High-level snapshot of the facility

  • Shows overall completion, compliance, and progress

Export → All Users

  • Summary of all users within the facility

  • Helpful for reviewing participation across your team at a glance

User Activity Reports (Individual-Level)

Use User Detailed when you need to dig into specific course activity

Best for: Reviewing specific learner progress

After selecting a provider and setting filters:

Export → Summary

  • One row per user

  • Shows overall progress, completion, and compliance

Export → Detailed

  • Breaks down each course per user

  • Includes course-level progress and completion details

Quick Tips

  • Use Provider Summary when you need a fast snapshot of facility performance

  • Use All Users when you want a broad view of everyone at once

  • Use User Summary to compare individuals
