Using Filters in Reports: User Report (Admin Guide)

How admin and supervisor can navigate the User report filters

Carebility offers built-in filters to help Admins quickly find and manage user information. One of the most commonly used reports is the User Report, which provides a high-level view of learners within your organization.

User Report Overview

To access the User Report, navigate to:
Reports > Users

From here, you can select the provider whose users you want to view.

This report is most often used to:

  • View a list of users

  • Check the email address on file

  • Confirm whether a user is Active, Pending, or Inactive

  • Manage user details for pending users

  • Filter and run reports based on specific user criteria


Information Included in the User Report

  • First Name

  • Last Name

  • Role

  • Status

  • Last Active

  • Hire Date

  • Termination Date

  • Created At date

  • Actions


Understanding User Statuses

  • Active: The user has logged into Carebility.

    • Active users must update their own personal information by logging in.

  • Pending: The user has not logged in yet.

    • Admins can edit certain details for pending users.

  • Inactive: The user is terminated or on a leave of absence


Actions Column Explained

In the Actions column, Admins will see several icons:

✏️ Pencil Icon (Edit User)

  • Allows you to update a user’s name, email, role, or provider

  • This option is only available for Pending users

  • Active users must update their own information after logging in

🔒🔁 Reset Password Icon

  • Allows you to create a new password for a user

  • Be sure to create a brand-new password—previously used passwords will not work

  • Password requirements:

    • At least 8 characters

    • One uppercase letter

    • One lowercase letter

    • One number

    • One special character

  • Examples: Reset@123 or Welcome1!

➕ Plus Icon (Assign Course)

  • Allows you to assign a course directly to an individual user

This allows you to pick what column headers you want on your export


Filtering the User Report

To filter users by status:

  1. Click the Status filter.

  2. Select Pending, Active, and/or Inactive.

  3. Click Apply.

    Note: By default, the User Report shows Active and Pending users only. To include Inactive users, click the Status filter and check the box next to Inactive, then click Apply.

This helps narrow results to only the learners you want to view.


Customizing Columns

In the top-left corner of the User Report, you can choose which columns appear in your report. Available column options include:

  • Email

  • Role

  • Status

  • Last Active

  • Hire Date

  • Termination Date

  • Created At

  • Actions

This allows you to tailor the report to your specific needs.
