Referral Statuses: What They Mean and How They Change

In Careflow, every referral has a Status that helps your team track where it is in the process, from intake to decision. Understanding these statuses ensures smooth communication and timely follow-up.

Referral Statuses:

Status

Meaning

New

Referral has been received but has not yet been reviewed.

In Review

Referral is actively being reviewed by the admissions or clinical team.

Approved

Referral has been approved for admission but no admit date has been set.

Pending Admit

Admission is pending, awaiting next steps, such as patient or family readiness.

Bed Hold

A bed has been held for the patient in anticipation of admission or re-admission.

Admitted

Patient has been officially admitted to the facility.

Denied

Referral has been declined for admission.

Discarded

Referral has been removed or marked as not moving forward.

Lost

Referral was not admitted and was placed elsewhere.

How Referral Statuses Change:

  • Statuses are updated manually by users within the referral record based on the referral outcome.

  • You can change the status at any time as new information becomes available.

  • Keeping statuses updated helps your team stay on the same page and ensures accurate reporting.

Quick Tips:

  • Always update the status promptly after a decision is made.

  • Use the Referral Index filters to quickly see referrals by status.

  • Statuses cannot be customized—they are standardized across all Careflow accounts.
