VIP Tier Expiry Reminder Email

Until now, a customer's VIP tier could drop on a date they were never warned about. The VIP Tier Expiry Reminder closes that gap

Written by Sam

It emails a customer ahead of time when their tier is about to expire or get recalculated, giving them a chance to keep shopping and hold onto their status.

It sits alongside the existing reward-expiry reminder and follows the same setup pattern as every other automated email in Casa Loyalty.

What it covers

The reminder works for every non-lifetime reset mode, because it simply reads whatever due date is already set on each customer:

  • One Year reset

  • N Years reset

  • Rolling recalculation

Lifetime tiers never expire, so no reminder is ever sent for them.

Turning it on

The reminder is opt-in and fully additive — if you never turn it on, nothing changes for your shop or your customers. Two separate switches need to be on before anything sends:

  1. Go to VIP program > Tiers Reset Settings and enable the tier-expiry reminder checkbox. This option only appears for non-lifetime reset modes.

  2. Go to Customer Emails and turn on the email's own on/off toggle, then customize the content.

Enabling the checkbox on the Tiers Reset Settings card is what reveals the email in Customer Emails — until it's enabled there, the email template stays hidden.

Setting the lead time

On the same Tiers Reset Settings card, choose how many days before expiry the reminder should go out:

0, 1, 3, 7, 14, or 30 days before expiry. The default is 7 days.

Customizing the email

The email is edited like any other Customer Emails block, using the following tokens:

  • {{customerName}}

  • {{shopName}}

  • {{vipTier}}

  • {{expiryDate}}

Sending behavior

  • One reminder per due date. Sends are deduplicated against the customer's current expiry-date value, so a customer won't be emailed twice for the same date.

  • Re-arms automatically. If the due date moves forward — from a rolling recalculation, a live tier change, or simply a new cycle starting — the reminder resets and the customer can be warned again ahead of the new date.

  • Crash-safe. Each customer's send is isolated from the others. The reminder is claimed atomically right before sending, so concurrent runs can't double-send it, and the claim is released if the send fails — a transient email outage won't cost a customer their one reminder.

  • Scheduling. Reminders are queued (not sent directly) from a daily 07:00 UTC check.

Localization

The email is fully localized to each recipient's language, including your translated tier name for that locale. If a translation is missing, it falls back safely to the raw tier name so the email never breaks.

Quick recap

Where to find it: VIP program > Tiers Reset Settings > enable the tier-expiry reminder, then customize it under Customer Emails.
