When you switched over to Chalk It Pro Payments, most member payment methods came along with the migration — but occasionally one doesn't transfer over. If that happens, you might end up with a member who has a delinquent bill, isn't responding to your outreach, or just hasn't had a chance yet to add a new payment method in Chalk It Pro Payments.
Don't worry — you don't have to lose that member over it. Your Stripe account is still yours, and you can go in and bill them directly while you wait for things to get sorted out on their end.
📝 Note: Because Chalk It Pro Payments is now your live payment processor, you won't be able to set this subscription up from within Chalk It Pro itself. Since the connection between Chalk It Pro and Stripe has been disconnected, you'll need to go directly into Stripe to do this. If you want reporting fluidity, make sure to setup an emailed invoice in CHIP so that you can record the payment without charging the card. This will ensure you're reporting is accurate.
Here's how:
Log in to your Stripe account and go to Customers.
Find the member you need to bill. You can use the search bar at the top to look them up quickly.
Once you're on their customer page, click the + (plus) button to add a subscription.
A subscription setup window will open. Use the dropdown to choose the subscription you want to add for this member.
Double check everything looks right — including when you want the payment method to start charging automatically.
Click Create to finish setting up the subscription.
That's it! You'll see the subscription show up as active and paid, and it'll continue to bill automatically going forward (for example, every four weeks, with the next invoice date shown on their page).
⚠️ Heads up: We hope you rarely (if ever) need to use this option. But it's there for exactly these situations — so if a member's payment method didn't come over and you want to keep their billing going while they get set up in Chalk It Pro Payments, you have full control to do it yourself in Stripe.
If you have any questions, comments, or concerns about billing through Stripe, reach out — we're happy to walk you through it.
How to Cancel
Hopefully, the member you were billing through Stripe eventually gets back to you and re-enters their payment method in Chalk It Pro Payments. Once you're able to charge them through Chalk It Pro Payments again, that's great news — but there's one more step you'll need to take: canceling the subscription you created for them in Stripe.
Here's how:
Go back to the member's profile in Stripe.
Find their subscription and click the X next to it.
📝 Note: If you don't want to dig through Customers or search for the member individually, there's a quicker way to get here. From the Stripe shortcuts menu (or under Billing and then Subscriptions), you can jump straight to a screen listing all of your active subscriptions.
On that subscriptions screen, find the subscription for this member and click the X to cancel it.
Choose Cancel immediately, and go ahead and issue a refund if needed.
One-Time Invoice
Not every charge needs to be a recurring subscription. If you just need to bill someone once — say, to backdate a charge, catch up on a product or membership fee you weren't able to charge them for in Stripe (or even in Chalk It Pro Payments), you can create a one-off invoice instead.
Here's how:
Go to the member's profile in Stripe — you can search for them or find them under Customers.
Click Create an invoice.
You'll land on the invoicing page. Your currency should already be set to your primary currency.
Find or create the item you want to charge for:
If the membership or store item you need already exists, select it.
If you don't see it listed, click to add a new line item. This lets you create a generic charge with your own price and description — for example, "Pro-rated billing" for $50.
Click Save once you've entered the item.
When you move forward, choose to auto-charge the customer rather than request payment (assuming their card is already on file from before). Add any memos you'd like at this point as well.
Click Charge customer.
That's it! You'll see the invoice show up on the member's profile — in this case, $50, paid successfully — and you're good to go.
