Why We Built This
In previous versions of Chariot, notes were saved in a single field, making it difficult to keep track of when specific updates were added or who added them. Without timestamps, important information could be overwritten, leaving no historical context. The Job Notes feature solves these issues, providing a structured, reliable timeline of all interactions.
How the Job Notes Feature Works
Accessing the Notes Log
In the Lead/Job > Intake page, toggle between Description and Notes Log in the top-right corner.
Switch to Notes Log to view or add notes within the Timestamped Notes experience.
Adding a Note
When a user adds a note, Chariot automatically records the date, exact time, and username.
Important: Once saved, notes cannot be edited or deleted, ensuring that the log remains an accurate, unaltered history of interactions.
Visual Indicator - Blue Badge
• When you switch to Notes Log, you’ll notice a blue badge displaying the total number of timestamped notes associated with the job.
• This badge indicates the presence of notes, whether they’re new or previously viewed, making it easy to know at a glance if notes are available.
Timeline Display
• The Notes Log is structured chronologically, providing a timeline of all entries so users can easily track interactions over time.
• Currently, there are no search or filter functions; entries display in the order they were added.
Who Can View Notes:
Only office users can view and add notes in the Notes Log. Movers and field employees do not have access to this feature.
Best Use Cases
Customer Interaction Logs
Use the Notes Log to record every call, email, or message exchange with a customer. For example, if you’ve called the customer to confirm details or discussed specific requirements, you can log each touchpoint to maintain a full history of your interactions.
Internal Updates and Job Progress Tracking
The Notes Log provides a clear, timestamped trail of all job-related communications, making it ideal for internal updates. Each team member can refer to this log to see the latest developments and ensure no details are missed.
Additional Details
No Notifications: At this time, users will not receive notifications when a new note is added, so we recommend regularly checking the Notes Log for updates.
Non-Editable Records: Notes are final once saved. This feature is designed to provide an accurate, secure record without risk of alteration.
Exporting Limitations: Currently, there is no option to export notes. All notes are stored within Chariot for internal reference only.
