Troubleshooting QuickBooks Sync Issues

What to check when a payment or charge doesn't sync to QuickBooks, plus how carton/inventory charges and Classes work with the integration.

This guide covers common QuickBooks Online (QBO) sync questions that come up after the integration is set up. For initial setup, see Integration: Syncing Chariot with QuickBooks Online and Chariot-QuickBooks Sync Overview.

A Payment or Job Didn't Sync to QuickBooks

Chariot syncs jobs to QuickBooks as Invoices automatically — at the earliest of the first payment logged or the job being moved to Completed-Closed. Most syncs happen within seconds, and any change to an already-synced job (new charges, payments, etc.) triggers an automatic re-sync.

If something looks out of sync:

  1. Open the job and go to the Results tab.

  2. Use the manual re-sync option to push that job to QuickBooks again.

  3. If it still doesn't sync, reach out to Chariot Support with the job ID and payment date — this can happen if Chariot's connection to QuickBooks needs to be refreshed.

Matching Cartons and Inventory Charges to QuickBooks Items

If you're charging for cartons or other inventory items and want those charges to map cleanly to QuickBooks, set the charge's sync type to Inventory Item in your Charge List (Settings > Charges), then search for and select the matching item from Chariot's default inventory list (including CP — company-packed, and PBO — packed by owner).

Using QuickBooks Classes with Chariot

Chariot can map invoices/payments to QuickBooks Classes, but this is currently built for multi-location companies — one Class per location.

If your company runs multiple types of jobs (for example, moving and junk removal) under one location rather than separate locations, Classes won't separate those for you today. As a workaround, set up different charges for each job type in Chariot (moving charges vs. junk removal charges, for example), then map those charges to different Income Accounts in QuickBooks. This gets you separate reporting by job type without needing Classes.
