How do I manage and prevent duplicate payments involving Bill Pay and PAD requests on Chexy?

Understanding Bill Pay and PAD

  • Bill Pay: Payments made via Bill Pay are processed directly to the payee’s billing account and are final, non-adjustable, and non-refundable.

  • PAD (Pre-Authorized Debit): PAD (also known as Direct Debit) is a method where your banking details are shared with the payee, enabling them to debit your account for an agreed amount.

Duplicate payments may occur if both Bill Pay and PAD are set up for the same payee and amount. For instance, a payment could be set up and made via Bill Pay in Chexy while the payee also initiates a PAD request.


Resolving Duplicate Payment Issues

If a duplicate payment occurs, Chexy can assist in rectifying the situation. Here's what you can do:

  1. Request PAD Rejection: If you've made your payment using the Bill Pay payout method OR if you've already made this payment outside of Chexy, confirm with Chexy Support that you want the duplicate PAD request rejected (staged for return).

  2. Notify Your Payee: Inform your payee that payments should only be expected through Bill Pay to avoid further PAD requests.

  3. Track Payments Effectively: Provide your payee with EDI (Electronic Data Interchange) control numbers as well as the payment date and amount to track your payment. Contact Chexy Support for these details.

If this is for a recurring payment, ensure your recurring payments are correctly set up through your preferred payout method.


Preventing Duplicate Payments

To avoid duplicate payment scenarios in the future, take the following steps:

  1. Choose a Single Payment Method: Decide whether you will use Bill Pay or PAD and cancel the alternative method with your payee.

    1. For Bill Pay: Confirm no PAD requests will be initiated by your payee.

    2. For PAD: Cancel any active Bill Pay arrangements.

  2. Communicate Preferences to Payee: Clearly inform your payee of your preferred payment method and ensure they adhere to it to prevent overlaps.
