Need to record time when someone can't clock in? You can add time cards for work hours, PTO, or travel with a few clicks.
Quick Access From Any Screen to Manually Add a Time Card
Look for the '+' icon in the blue header - it's available everywhere. Select Add > Time Card to begin.
Adding a Time Card
Select the employee and date from the dropdowns, then Next
Select the entry type: Time Worked, PTO, or Travel, then Next.
Time Worked:
Select Job, Team/Shift, and Pay Type
Enter either Duration or Clock In/Out times
Add scheduled time to track against actual hours (optional)
Deduct meal/break time if needed
Save
PTO:
Enter hours
Select PTO Pay Type. Choose from system-generated pay codes: Bereavement, Holiday, Jury Duty, Personal Time Off, Sick, Vacation)
PTO hours are automatically separated from regular work hours
Save
Travel:
Select the job
Enter the time (miles are optional)
Save
Adding Time Cards for Hours Across the Midnight Hour
Currently, the Add Time Card wizard only allows you to select a start date, not an end date. If you're trying to manually add time cards for employees who work across the midnight hour, here's how you do it, following the normal process.
Select the Clock-In Date
Follow the wizard steps as usual.
Use the Clock In/Out Option.
In the Total Time field, enter the amount of time worked.
Select the Clock-In Time.
Click Any White Space in the Box: The system will auto-fill the correct clock-out time, even though you didn't manually select the date.
This method ensures shifts that extend past midnight are recorded accurately.
Identifying Manual Time Cards
Manual entries are easy to spot:
Look for the 'person with pencil' icon on the time card
A green dot appears on the daily cell
These indicators help you quickly distinguish between system-recorded and manually-entered time.
Manual time cards give you the flexibility to handle any situation - from missing punches to travel time. And with clear visual indicators, you'll always know which entries were added by hand.
