Booking a Casual Who Is Marked as ‘Unavailable’

Sometimes, after you've verbally agreed on a booking with a casual, they might update their availability to 'Unavailable' (UA) in ClassCover. Don't worry – if you've already confirmed the booking with them, you can still proceed using a pre-confirmed booking.

Important: Before proceeding, it's best to contact the casual to confirm that they are only marked as ‘Unavailable’ because they’ve verbally agreed to your booking – not because they are already booked through another school.

When to Use a Pre-Confirmed Booking

If you've spoken directly with the casual and they've agreed to the booking, you can create a pre-confirmed booking even if they're marked as 'Unavailable'. This ensures your records are accurate and the casual is officially booked in the system.

However, if another school has already booked the casual through ClassCover, you won't be able to proceed with the booking.

How to Book a 'Unavailable' Casual

To proceed with the booking:

  1. Click on the 'UA' (Unavailable) cell next to the casual's name.

  2. Confirm that your school has booked them.

Once confirmed, the 'UA' status will change to a 'B' (booked), indicating that the casual is now booked.

Things to Keep in Mind

Before making the booking, ensure that the casual is only unavailable because you’ve already made a verbal agreement with them, and not because they are booked elsewhere. This step is critical for accurate record-keeping.

To continue with the booking:

  1. Click on the 'UA' cell next to the casual’s name.

  2. Confirm that your school has booked them.

  3. Proceed with the booking as usual.

Once confirmed, the red 'UA' will change to a red 'B' to indicate that the casual is Booked.

Important Considerations

  • Before proceeding, contact the casual to confirm that they are only marked as ‘Unavailable’ because they’ve verbally agreed to your booking – not because they are already booked through another school.

  • If they are already booked elsewhere in ClassCover, the system will prevent you from making the booking.

  • This step helps avoid double bookings and ensures accurate record-keeping.
