Find and Invite New Casual Staff to Join Your List via Find New

Whether you're setting up your casual list for the first time or looking to add new staff, ClassCover’s Find New feature helps you discover and connect with qualified casuals in your area – fast. This tool allows you to filter, view, and invite available casuals to join your list, giving you more control and flexibility over your school’s relief staff pool.


Why Use Find New?

Using the 'Find New' feature is ideal for schools that:

  • Are new to ClassCover and need to build a list from scratch

  • Want to grow their existing list with fresh, active casuals

  • Are preparing for busy times (like flu season or exam periods)

  • Want more choice and flexibility in who they book

Here are some key benefits:

  • Proactive hiring: Don’t wait for casuals to find you; search and invite those who match your needs.

  • Time-saving filters: Narrow results by subject, role type, availability, location, and more.

  • Profile transparency: View qualifications, experience, documents, and availability before inviting.

  • Faster bookings: The more relevant casuals you have on your list, the quicker you can fill bookings.

  • Better coverage: Avoid staff shortages by expanding your pool of qualified relief staff.


How to Use Find New

You can access Find New via both desktop and the ClassCover mobile app.

On Desktop:

  1. Log in to your ClassCover school account.

  2. Go to Discover in the left-hand menu, then select Find New.

  3. Use filters to search by:

    • Role type

    • Subject area

    • Year level

    • Availability

    • Location (suburb or postcode)

  4. Click on a casual's profile to review it.

  5. When you're ready, click Send Invite to send an invite request to an individual casual, or you can select multiple casuals at once and click Invite selected.

On the Mobile App:

  1. Tap on Teachers from the bottom menu.

  2. Tap on Find New.

  3. Use filters to narrow your search.

  4. Tap a casual's profile to review it.

  5. Tap Invite to request them to join your list.

📌 Tip: You can invite multiple casuals in a single session to build your list quickly.


Managing Pending Invites

Once you’ve invited casuals, their status will appear as “Pending” in your Invites page. These casuals need to accept your invite before you can book them.

To manage your pending invites:

  • Go to Manage and select Invites.

  • Casuals who haven’t responded will remain here until they accept or decline.

  • If needed, you can send them a message or remove the pending invite.

📌 We recommend following up with casuals if they haven’t responded after a few days.


Sending Messages to Casuals in Find New

Need to reach out before or after sending an invite? The Find New feature also allows you to send messages to casual staff directly:

  • Send an individual message to a selected casual before inviting them to join your list.

  • Filter and send bulk messages to a group based on specific criteria, giving you the ability to communicate important information to multiple casuals at once.

This messaging feature is a helpful way to introduce your school, provide additional details, or check availability before sending an invitation.


Use the Availability Filter

Want to invite only active and available casuals? Use the Availability filter to find those who have updated their availability for a preferred date range.

This ensures:

  • You're not inviting casuals who are unavailable or inactive.

  • You’re more likely to get a fast response when you send a booking request.


⚠️ A Few Things to Keep in Mind

  • Can’t Find Someone You’re Looking For?
    Not all casual staff choose to be listed in the Find New directory. If a casual isn’t appearing in your search, they may have chosen to keep their profile hidden. You can reach out to them directly and ask them to review their settings to ensure their profile is visible to other schools (this can be done via their settings).

  • Admin-Only Access:
    This page is only viewable to admins at your school.
    Those with limited access are not permitted to add new or remove casuals from your school’s list.

  • Ensure Casuals Are Approved to Teach:
    Before employing any casual, it is your responsibility to ensure that they are approved to teach. Check that all their accreditations and certifications are correct and up to date.

  • Verification Status:
    If your school isn’t part of a school group with verification integrations (such as the NSW Department of Education or partnered Catholic Education Offices), you won’t see verification ticks on profiles. It’s up to your school to complete the necessary checks with your governing body before booking.

  • NSW Department of Education & Brisbane Catholic Education Schools:
    If your school is part of the NSW Department of Education or Brisbane Catholic Education, you will notice a verification symbol next to the names of casuals in your list and in the ‘Find New’ search results. This symbol indicates whether the casual is verified with the NSW Department of Education or Brisbane Catholic Education.
